The Reservation Coordinator role at Sonesta International Hotels is a crucial position within the Revenue, Sales, and Catering team. The coordinator is responsible for managing all hotel reservations — both transient and group — ensuring seamless coordination and accuracy in booking processes across various systems such as OPERA, Synxis, Delphi, and Passkey/GroupMAX. This position demands a high level of attention to detail, multi-tasking capabilities, and strong initiative as the coordinator independently handles workloads and strives for operational excellence. Close collaboration with the Reservations Supervisor, Area Director of Revenue Management, Business Travel Directors, and Catering Event Managers is a key component of this role.
This is not an entry-level position and requires prior hotel experience, preferably in reservations, along with strong communication skills and the ability to deliver exceptional guest service. The coordinator acts as a liaison between guests, internal departments, and sales teams, maintaining accurate reservation information, managing group blocks, handling special corporate account reservations, and ensuring that inventory and pricing controls are properly adhered to. In addition, the role involves providing tactical support during sellouts, managing guest inquiries, resolving complaints diplomatically, and promoting the Sonesta brand and its marketing initiatives.
Beyond operations, this role supports strategic planning by organizing reservation-related activities and filing systems, attending meetings as needed, and regularly updating departments with rate and inventory information. The coordinator embodies Sonesta's commitment to passionate and engaging guest service, applying the GUEST model to every interaction, which involves greeting warmly, anticipating and establishing guest needs, owning and solving any issues, and expressing gratitude. Building positive relationships with colleagues and contributing to a respectful team environment are also important aspects of the job.

Job Duties
- Maintain high level of attention to detail and accuracy of data input
- utilize reservation and inventory management systems such as OPERA, Synxis, Delphi, and Passkey/GroupMAX
- coordinate reservation, inventory, and revenue management systems ensuring pricing and inventory controls are followed
- manage all sellouts until arrival day and coordinate handoff to Front Office
- enter reservations from Business Travel Managers and group contracts in reservation systems
- build and manage group blocks and rooming lists, deploy business strategies, manage rooming lists and upsell revenue strategies
- respond to guest inquiries regarding hotel facilities, rates, and availability professionally
- correspond professionally with guests via email
- enter special requests and ensure guest satisfaction
- coordinate gift certificate redemptions
- return telephone messages and emails same day
- handle complaints tactfully and negotiate resolutions
- organize reservation activities and filing systems
- provide rate and inventory information to other departments
- attend meetings as necessary
- follow through on changes from Sales and Catering department
- deliver passionate and engaging guest service following the GUEST model
- build solid relationships with colleagues
