This particular role is for a full-time, non-management position within the Reservations department at The Ritz-Carlton in Philadelphia. The position offers a competitive hourly wage of $25.50 and does not allow remote work, emphasizing on-site collaboration and hands-on engagement with guest reservation processing. The core responsibility involves managing all aspects related to room reservations, including processing requests, modifications, cancellations received through telephone, fax, or email. The role requires identifying guests' needs, determining the appropriate room type, verifying availability and rates, as well as clearly explaining the policies concerning guarantees, special rates, and cancellations. Employees must ensure accurate documentation of special guest requests and provide detailed information about the property’s facilities and services.

This position demands excellent communication skills to handle guest inquiries professionally, while utilizing sales techniques to maximize revenue. Handling VIP reservation information with confidentiality and precision is also a key aspect. Utilizing reservation systems to input and access guest data is vital, as is problem-solving arising from reservation requests by coordinating with appropriate personnel or departments. Ensuring the accuracy of room blocks and reservations, managing group room lists, reviewing room blocks to maintain required room availability, and organizing group-related files is part of the responsibilities as well. The role involves setting up proper billing accounts in line with accounting policies while strictly adhering to company policies, maintaining a clean and professional appearance, and protecting proprietary company information.

Job Duties

  • Process room reservations, requests, changes, and cancellations received via telephone, fax, or email
  • Identify guest needs regarding reservations, determine suitable room type, verify availability and rates
  • Explain guarantee policies, special rates, and cancellation policies to callers
  • Handle and document special requests
  • Provide information about hotel facilities, services, and room accommodations
  • Use sales techniques to maximize revenue
  • Communicate VIP reservation information
  • Enter and access data in the reservation system
  • Resolve issues related to guest reservation requests by liaising with relevant personnel or departments
  • Monitor accuracy of room blocks and reservations
  • Manage group room lists and maintain required room availability
