Gaylord Hotels at the location in Grapevine, Texas, is currently hiring for a full-time, non-management position within the Finance and Accounting category. This role focuses on providing outstanding service to group guests, ensuring the smooth handling of accommodations and billing from pre-arrival through departure. The ideal candidate will act as the main point of contact for group reservations, managing requests, modifications, and cancellations, while coordinating closely with various departments and external entities to deliver seamless event experiences.
In this role, the employee is responsible for processing all reservation-related inquiries received via telephone, fax, or email. They identify guests' room needs, verify availability, and explain policies regarding guarantees, special pricing, and cancellations in a clear and professional manner. Handling complex billing arrangements, including shared accounts, room taxes, direct billing, and group bookings, is a key component of the position, requiring attention to detail and strict adherence to accounting policies.
The position demands excellent communication skills to interact effectively with internal and external clients, employing company-standard operating procedures (SOPs) and local SOPs to maintain high-quality service levels. The employee will be expected to maintain a polished and professional appearance, observe company safety and privacy policies, and contribute to a positive team environment by supporting colleagues and responding thoughtfully to workplace issues.
This role is ideal for individuals with at least a high school diploma or equivalent (general educational development certificate or GED) and less than one year of related work experience in a similar capacity. No supervisory experience or certifications are required. The successful candidate must be able to handle light physical tasks, such as moving objects weighing up to 10 pounds independently, and demonstrate integrity and professionalism in all interactions with guests and co-workers.

Job Duties
- Assist group hotel guests to ensure successful event experiences acting as the contact for accommodation and billing from pre-arrival to departure
- Process all requests, changes, and cancellations of reservations received by telephone, fax, or email
- Identify guest room needs, determine appropriate room types, and verify availability and pricing
- Explain guarantee policies, special pricing, and cancellation policies to callers
- Accommodate and document special requests
- Prepare appropriate billing accounts according to accounting policies including shared, room/tax/incidental, tax-exempt, direct/special billing, and group reservations
- Issue receipts, invoices, and account statements following company procedures
- Provide excellent service to internal and external clients
- Ensure compliance with standard operating procedures and local SOPs
- Collaborate closely with various departments and external parties to ensure guest satisfaction from arrival through final billing
- Adhere to all company security policies, maintain a clean and professional appearance, protect company information and assets
- Report accidents, injuries, and unsafe conditions to management
- Greet and acknowledge all guests per company standards, anticipate and meet guest service needs, assist persons with disabilities, and express genuine appreciation
- Communicate clearly and professionally, answer phones with appropriate etiquette
- Prepare and review documents accurately and punctually
- Meet quality assurance expectations and standards
- Develop and maintain positive working relationships, support the team to achieve shared goals, respond appropriately to employee concerns
- Move, lift, transport, push, drag, and place objects weighing up to 10 pounds without assistance
