In this full-time, non-management role based in Chula Vista, California, the Associate will play a crucial part in ensuring the success of group events at the hotel by serving as the primary point of contact for lodging and billing activities from the beginning of the guest’s arrival through departure. The position is pivotal in delivering outstanding hospitality aligned with the company’s service standards and brand policies. This Associate is responsible for processing group bookings, modifications, and cancellations received through phone, fax, or email. They will work diligently to identify guest reservation needs, match appropriate room types, verify availability, and provide clear details about pricing, guarantee policies, and cancellation terms. A major focus is on preparing accurate billing accounts, including shared, room, tax, incidentals, tax exemptions, direct bill/special arrangements, and group reservations while adhering to accounting policies and company procedures.

The role also involves preparing, reviewing, and issuing receipts, invoices, and account reports with precision and within timelines. The Associate provides excellent customer service to both internal departments and external customers, ensuring smooth communication and cooperation among departments and outside entities. Committed to upholding standard and local operating procedures, the Associate ensures compliance with security policies, maintains a professional appearance, handles confidential information responsibly, and promptly reports any workplace hazards or incidents.

Additionally, the Associate is expected to welcome and acknowledge all guests graciously according to company standards, anticipate and respond to service needs, assist guests with disabilities, and express genuine appreciation. Communication must be clear, professional, and friendly, whether in-person or over the phone, including proper phone etiquette. The role entails careful reading, verifying, and processing information from various formats and maintaining quality assurance standards.

This position supports positive work relationships, teamwork, and effective problem resolution among associates. Physical ability to move items weighing up to 10 pounds without assistance is required, alongside willingness to perform reasonable additional duties as assigned by supervisors. The role offers a competitive wage of $28.75 per hour and does not require supervisory experience or certifications, making it an excellent opportunity for candidates with high school education or equivalent who are eager to grow within a dynamic hospitality environment.

Job Duties

  • assist hotel group guests to ensure successful events by acting as contact for lodging and billing from arrival to departure
  • process all reservation requests, changes, and cancellations received by phone, fax, or email
  • identify guest reservation needs, determine appropriate room type, verify availability and price
  • explain guarantee policies, special rates, and cancellation policies to callers
  • accommodate and document special requests
  • prepare billing accounts according to accounting policies including shared, room, taxes, incidentals, tax exemptions, direct/special billing and group reservations
  • prepare, review and issue receipts, invoices, and account reports in compliance with company procedures
  • provide excellent service to internal and external clients
  • ensure compliance with standard and local operating procedures
  • collaborate with various departments and external entities to ensure guest satisfaction from pre-arrival to final billing
  • maintain professional appearance and adhere to company security and privacy policies
  • report all accidents, injuries, and hazardous conditions to a manager
  • greet and acknowledge guests per company standards, anticipate and meet guest service needs, assist guests with disabilities, and express genuine appreciation
  • communicate clearly and professionally, answer phones using proper etiquette
