The Green Coffee Specialist role is key to supporting Intelligentsia’s operations by managing green coffee logistics, inventory, and documentation from coffee origin countries to the warehouse in Bedford Park, Illinois. This onsite position is detail-driven and requires precision, organization, and a strong sense of urgency to maintain inventory accuracy and operational efficiency. The Green Coffee Specialist acts as a bridge between multiple stakeholders — including producers, exporters, importers, logistics providers, warehouses, and internal teams — to facilitate seamless communication and smooth shipment flow.

The specialist is responsible for real-time management of green coffee inventory, overseeing international container shipments, air freight, and domestic shipments, and ensuring the timely execution of coffee releases. These activities are crucial for support of Intelligentsia’s unique sourcing model and long-term partnerships that define the company’s identity.

This role demands exceptional attention to detail, excellent organizational and time management skills, and the ability to handle confidential information professionally. Proficiency with systems such as Excel, NetSuite, Box, Asana, and Google Workspace is essential to maintain accurate operational data, documentation, and reporting.

In addition to logistical responsibilities, the Green Coffee Specialist also supports the planning and coordination of Intelligentsia’s Extraordinary Coffee Workshop logistics, including managing travel arrangements, vendor communications, participant relations, and expense tracking. This broad scope allows the specialist to contribute meaningfully to key brand initiatives beyond traditional supply chain functions.

Located onsite at the Roasting Works facility in Bedford Park, IL, the Green Coffee Specialist will work regularly within both office and warehouse environments. The role requires flexibility, with occasional international travel to coffee-producing regions expected, sometimes under challenging conditions. This position offers a competitive annual salary between $65,000 and $75,000, along with a comprehensive benefits package that supports employee well-being and growth.

Job Requirements

  • Genuine interest in specialty coffee
  • 2+ years of experience in logistics, inventory management, or supply chain operations, including coordination of international container shipments, air freight, and domestic LTL and FTL freight
  • Strong attention to detail with the ability to accurately review, record, analyze, and organize information
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines
  • Strong interpersonal skills with the ability to communicate clearly, professionally, and with urgency across internal and external partners
  • Intermediate to advanced proficiency in Excel and comfort navigating systems such as NetSuite, Box, Asana, and Google Workspace
  • Demonstrated ability to handle confidential and commercially sensitive information with professionalism and discretion
  • Valid driver’s license and ability to travel internationally, including possession of or eligibility to obtain a valid passport

Job Duties

  • Ensure accurate, real-time alignment between physical green coffee inventory and system records across items and warehouses
  • Conduct regular physical inventory counts
  • Coordinate and/or oversee the movement of green coffee, including international container shipments, air freight, and domestic shipments from arrival through storage and transfer
  • Maintain accurate and timely operational data, including in forecasting and demand planning tools, to support purchasing, inventory visibility, and supply continuity
  • Partner across teams and functions to ensure on-time execution of scheduled coffee releases and support ongoing operational needs
  • Maintain documentation and data integrity across internal systems to support reporting, certification, and audit requirements
  • Act as a primary coordination point between producer partners, exporters, importers, logistics providers, and warehouse partners for smooth communication and shipment flow
  • Monitor shipments and proactively communicate status updates, delays, and exceptions to internal teams in a timely and accurate manner
  • Maintain complete and organized sourcing documentation, including contracts, purchase orders, invoices, and shipment records
  • Support planning and execution of Extraordinary Coffee Workshop logistics, including travel coordination, vendor engagement, participant communication, and expense tracking
