The Herbert Wertheim College of Medicine (HWCOM) at FIU is a national leader in integrating community-based medical education with clinical care. Dedicated to training physicians, scientists, and health professionals who are socially accountable and committed to community service, HWCOM fosters a unique learning environment that combines academic excellence with real-world clinical experience. HWCOM is academically and clinically affiliated with Baptist Health South Florida (BHSF), the largest not-for-profit health system in South Florida. Together, BHSF and HWCOM aim to develop a robust catalog of Graduate Medical Education (GME) programs hosted at Baptist Hospital Miami (BHM), BHSF's largest hospital.
We are actively seeking a motivated and detail-oriented GME Program Coordinator to join our dedicated team at Baptist Hospital Miami. This full-time position involves supporting the administrative and operational facets of the residency programs, ensuring smooth coordination of trainee activities, program evaluations, recruitment, and accreditation processes. The GME Program Coordinator will assist with maintaining program documentation, organizing conferences and meetings, coordinating trainee schedules, and facilitating communication between program leadership, trainees, and various university departments. This role demands excellent organizational skills, attention to detail, and the ability to collaborate effectively within a dynamic academic and clinical environment. Job Duties
- Assist with residency program duties including creating and maintaining departmental files and preparing institutional forms and requests
- Coordinate day-to-day activities of trainees including disseminating rotation schedules, scheduling conferences and meetings, coordinating submission and response to trainee evaluations, preparing for faculty meetings and taking meeting minutes
- Help organize trainee recruitment and graduation processes including processing applications, assisting with interview scheduling, and securing meeting sites
- Assist with development and creation of trainee and program evaluation reports including trending evaluation data
- Maintain accurate records of trainees' prior training, rotations, leave, and vacation
- Plan travel arrangements for Program Director and trainees and liaise with HWCOM Finance team
- Coordinate accreditation site visits including preparing documents
- Maintain databases and marketing materials for residency program information
- Serve as liaison between program and Office of Graduate Medical Education and HWCOM Human Resources for credentialing, onboarding, and offboarding procedures
- Monitor duty hours, evaluations, outpatient rotations, procedure logs, and scholarly activities for accuracy and completion
- Coordinate and oversee social events for trainees
- Perform other related duties as required or directed
