The role of Events Coordinator at Joybound reports directly to the Events Manager and plays a vital role in the planning, execution, and management of fundraising and stewardship events. This position is responsible for providing comprehensive logistical and administrative support throughout the entire event lifecycle. Key responsibilities include vendor coordination, guest communications, day-of-event operations, and collaboration with various stakeholders to ensure events run seamlessly and positively represent the organization's mission. The Events Coordinator is also instrumental in supporting fundraising efforts such as sponsor outreach and soliciting in-kind donations for live and silent auctions, contributing significantly to the success of each event.
This position demands a professional who is skillful in juggling multiple priorities and adapting quickly within fast-paced event environments. The ideal candidate will embody strong organizational abilities, attention to detail, and superior communication skills, paired with a passion for animal welfare. They will work closely with volunteers, supervise event day roles, and collaborate with the Development Associate to maintain excellent donor relations and guest management protocols including invitations, RSVPs, and registration. Additionally, the Events Coordinator helps maintain event-related safety protocols, handles inventory management of materials and supplies, and upholds confidentiality of donor and internal information.
The role requires at least 40 hours per week with variable scheduling depending on event demands, including some weekend, evening, and holiday work, and occasional travel. Candidates should expect a dynamic work environment with physical requirements such as lifting, bending, and exposure to animals and allergens. Job Requirements
- Bachelor’s degree in hospitality, communications, or public relations preferred
- Equivalent professional experience considered
- Minimum of three years experience coordinating fundraising events
- Experience working with corporate sponsorships
- Strong project management and organizational skills
- Proven multitasking and prioritization abilities
- Knowledge of donor stewardship and sponsorship strategies
- Familiarity with auctions and gala events
- Proficiency with CRM or donor management systems
- Skilled in Microsoft Office, Canva, and event registration software
- Ability to adapt rapidly to changing environments
- Passion for animal welfare mission
- Excellent communication and interpersonal skills
- Ability to work independently with good initiative
- Leadership experience with volunteer and staff supervision
- Valid California driver's license with insurance
- Successful completion of pre-employment background check
- Physical ability to lift 25 pounds and perform event setup tasks
- Willingness to work variable hours including weekends, holidays, and evenings
- Exposure to animals and allergens
- Valid driver for occasional travel
Job Qualifications
- A four year degree in hospitality, communications, or public relations preferred
- Equivalent experience may substitute year for year
- Three or more years of experience coordinating fundraising events and working with corporate sponsors strongly preferred
- Background in animal welfare, nonprofit work, or mission driven organizations is a plus
- Project management skills with strong organizational skills and exceptional attention to detail
- Proven ability to manage multiple events and competing priorities
- Understanding of donor stewardship, sponsorship development, and community engagement strategies
- Experience with online/live auctions and fundraising galas preferred
- Experience with donor management systems preferred
- Proficiency in Microsoft Office, Canva, event registration platforms, and project management tools
- Ability to adapt quickly in dynamic event environments
- Passion for animal welfare and commitment to Joybound’s mission
- Excellent interpersonal, presentation, written, and verbal communication skills
- Ability to work independently, proactive, organized, and innovative
- Experience mentoring staff and volunteers, delegating tasks, supervising, and evaluating performance
- Valid California driver's license with acceptable driving record and proof of insurance
- Pre-employment background screening required
Job Duties
- Facilitate hands on execution of fundraising events, donor stewardship gatherings, and other development activities as assigned
- Support the Events Manager in event design and planning, prepare timelines and task lists including vendor coordination, logistics, setup, and teardown
- Coordinate the timely implementation of event plans
- Train and supervise event day volunteers ensuring they understand setup, teardown, and role expectations aligned with event goals
- Collaborate with the Development Associate on donor relations and guest management such as invitations, RSVPs, nametags, check in, and registration stations
- Assist Events Manager in event fundraising efforts including sponsor outreach and in kind donation solicitation
- Coordinate and track in kind donation requests for live and silent auctions, conducting outreach to community partners and service providers while cultivating partnerships
- Track fundraising event revenue, expenses, and participation and assist the Events Manager in preparing event revenue metrics for the Advancement Team
- Oversee and organize inventory of event materials, signage, supplies and equipment
- Foster a positive, humane, and caring environment for people and animals
- Protect the confidentiality of all donor, prospect, and internal information
- Follow all applicable safety regulations and Joybound policies
- maintain compliance with event related safety training and certifications and train staff and volunteers on safety protocols as needed
- Perform additional duties as assigned
