Job Description

YWCA Paso Del Norte Region is a respected nonprofit organization committed to empowering women and eliminating racism through community programs and advocacy. Serving the El Paso, Texas area and surrounding communities, the YWCA hosts various special events throughout the year to raise awareness, engage donors, and strengthen community ties. The role of Special Events Coordinator is vital to the success of the YWCA’s outreach and fundraising efforts. This position is responsible for assisting in the coordination, planning, marketing, and execution of key special events, including the Women’s Luncheon, Annual Meeting, Walk A Mile in Her Shoes, and various smaller donor and branch engagements. The coordinator will work closely with the director, CEO, board members, event committees, and volunteers to ensure each event meets the high standards of the organization and delivers a meaningful experience to guests. This role demands strong communication skills, attention to detail, and the ability to manage complex logistics under fast-paced conditions.

Tracking event revenues and expenditures is a critical aspect, ensuring financial goals align with the organization's mission. The coordinator manages vendor relationships, negotiates contracts, oversees event marketing materials, and secures in-kind donations, especially for auctions. Maintaining accurate constituent information via the Raiser’s Edge database and collaborating with Marketing and Grants departments to create stewardship plans for strategic donors are also key responsibilities. The role requires flexibility to work evenings, weekends, and holidays when necessary, reflecting the nature of nonprofit event planning.

Job Requirements

  • Associate’s degree or equivalent training in public relations, nonprofit management, business, communication, journalism, or related field
  • Minimum one year of experience in event planning, sales, or leadership role
  • Previous communication and social media experience preferred
  • Ability to work in fast-paced, high-volume event environment
  • Self-starter with excellent organizational skills
  • Strong communication and customer service skills
  • Strong English writing and editing skills
  • Spanish language skills a plus
  • Excellent interpersonal skills
  • Ability to manage multiple assignments
  • Hands-on computer skills including Microsoft Outlook, Teams, Zoom, CRM, Word, and Excel
  • Valid driver's license and vehicle with required liability insurance
  • Flexibility to work evenings, weekends, and holidays

Job Qualifications

  • Associate's degree accepted, bachelor's degree preferred, or equivalent training in public relations, nonprofit management, business, communication, journalism, or related fields
  • One year of experience in event planning, sales, or a leadership role with strong communication and attention to detail
  • Previous communication and social media responsibilities preferred
  • Willingness to work in a fast-paced, high-volume event logistics and fundraising role
  • Self-starter able to prioritize and meet deadlines with minimal supervision
  • Effective project coordinator with leadership qualities, kindness, empathy, and a can-do work ethic
  • Excellent communication and customer service skills with strong attention to detail
  • Strong English writing and editing skills required, Spanish language skills a plus
  • Excellent interpersonal skills to interact respectfully and professionally at all levels
  • Organized and flexible with the ability to manage multiple tasks in a busy environment
  • Proficient with Microsoft Outlook, Teams, Zoom, CRM, Word, and Excel
  • Valid driver’s license and vehicle with required insurance

Job Duties

  • Support the director in coordinating, planning, marketing, and executing special events
  • Coordinate with supervisor and relevant departments on event logistics including venue, vendors, guest speakers, program development, marketing strategy, and registration
  • Collaborate with supervisor, CEO, and committees to meet event revenue goals
  • Manage execution of sponsorship deliverables with supervisor
  • Create event correspondence such as sponsorship packets, invitations, donor letters, and acknowledgments
  • Track event expenditures, donations, sales, and provide financial progress reports
  • Secure and negotiate quotes and contracts with venues and vendors
  • Communicate with internal and external stakeholders including volunteers and sponsors
  • Secure in-kind donations and manage event auctions including descriptions, bid structures, and acknowledgments
  • Assist in coordination of special events with volunteers, staff, and vendors
  • Organize promotional inventory and manage purchase orders and reimbursements
  • Maintain and administer Raiser’s Edge database for constituent information
  • Develop stewardship and cultivation plans for strategic donors with Marketing Department
  • Participate in post-event debriefs for process improvement
  • Coordinate stewardship content on YWCA website with Grants and Marketing offices
