The role of Front Office Specialist at EyeCare Partners is a pivotal position that embodies the essence of the Total Patient Experience. This specialist acts as the first point of contact for patients, setting the tone for their overall experience with the practice. The Front Office Specialist is responsible for various administrative and customer service functions critical to maintaining smooth day-to-day operations. This includes greeting patients warmly, managing patient check-in and checkout processes, answering telephone inquiries both in-person and remotely, and handling patient payments accurately in accordance with company protocols. The position requires someone organized, detail-oriented, and capable of multitasking in a fast-paced clinical setting.

Essential to the role is the ability to uphold high standards of communication and professionalism while balancing patient needs with the efficient scheduling and flow of appointments. The Front Office Specialist verifies insurance authorizations, maintains patient flow records, and ensures compliance with confidentiality standards such as HIPAA. The physical demands of the role include frequent walking, sitting, standing, and occasional bending or lifting, which require individuals to have good physical stamina and fine motor skills. Proficiency in Microsoft Office applications such as Excel, Word, PowerPoint, and Outlook is also necessary to manage daily office tasks effectively.

This is typically a full-time position based primarily in a clinical or office environment, with occasional travel to other locations as needed for essential job duties. Candidates should possess a high school diploma or GED and have at least one year of experience interacting with customers or patients, preferably within a medical or ophthalmic office setting. Job Requirements

  • High school diploma or GED
  • at least 1 year of customer or patient interaction experience
  • ability to pass background check
  • proof of identity and legal right to work in the United States
  • strong communication and interpersonal skills
  • physical ability to perform frequent walking, sitting, standing, bending, and occasional lifting up to 25 lbs
  • proficiency with Microsoft Office applications
  • adherence to HIPAA and company policies

Job Qualifications

  • Previous medical office experience preferred
  • previous ophthalmic experience strongly preferred
  • minimum of 1 year interacting with customers or patients
  • favorable background check result
  • ability to provide proof of identity and work authorization
  • proficiency in Microsoft Excel, Word, PowerPoint, Outlook

Job Duties

  • Embrace and execute Total Patient Experience to build relationships with patients
  • provide exceptional customer service in person and via phone
  • greet patients promptly and courteously
  • answer external and internal phone calls with promptness
  • verify insurance authorizations and maintain accurate flow sheets
  • check out patients and collect payments per procedures
  • manage patient flow and communicate to optimize efficiency
  • complete daily cash reconciliations and close out day
  • comply with company policies and HIPAA regulations
  • perform assigned general office duties and cleaning
