The Front Office Scheduler at Prime MSO plays a vital role in ensuring smooth operational flow within the surgical center by serving as the primary point of contact for visitors and patients upon arrival. This position is responsible for efficiently scheduling all surgical procedures in compliance with clinical and insurance guidelines to maintain an accurate surgery calendar. Beyond scheduling, the role involves managing confidential medical and demographic records with meticulous attention to detail and adherence to HIPAA and other regulatory standards. Administrative duties such as greeting guests, managing multi-line telephone systems, directing inquiries, sorting and distributing mail, and supporting nursing staff with pre-operative communications are also key responsibilities. The Front Office Scheduler liaises with various internal departments and external partners, ensuring timely transmission of documentation and coordination of ancillary services like pathology reports and pre-procedure testing.
The role demands excellent organizational skills, a strong understanding of medical terminology, and proficiency in specialized scheduling software like the Vision Scheduling Program and Salesforce. Job Qualifications
- Knowledge of medical terminology
- minimum of 1-year medical assistant/front office experience
- knowledge of word processing software
- ability to travel to alternative facilities as needed
- 1-3 years of ambulatory surgery center procedure scheduling experience preferred
Job Duties
- Serve visitors by greeting, welcoming, directing and announcing them appropriately
- answers multi-line telephones, routes calls, takes messages, and responds to or refers inquiries courteously and promptly
- coordinates patient surgery scheduling in accordance with Prime MSO Policy and Procedures
- ensures current and accurate scheduling calendar
- helps to organize and maintain confidential medical files and records
- transmits documentation to necessary parties via email, facsimile or mail in accordance with policies and medical regulations including HIPAA/HITECH
- communicates with applicable staff regarding scheduling matters
- reviews and completes daily schedule logs, sending them to applicable staff and licensed independent practitioners
- scans and names documentation accurately according to policies and procedures
- follows up on pathology and lab reports, incomplete or missing medical records, and dictated reports
- schedules FedEx/UPS packing slips and processes incoming and outgoing mail and faxes
- assists nursing staff with pre-operative phone calls to review health history and pre-surgery instructions
- enters case data into Vision Scheduling Program
- monitors out-of-pocket monthly amounts and follows up with doctors’ offices if changes occur
- participates in professional competency maintenance in-services
- builds, files and scans patient charts prior to procedures
- coordinates testing schedules for pre-procedure COVID testing
- participates in Quality Assurance Performance Improvement Committee activities
- follows up on authorizations and re-verifications in accordance with Prime App
- accurately handles and processes patient information and data
- performs duties assigned by management
