The Front Office Receptionist position at Prime MSO serves as a vital role in ensuring the smooth operation of the front desk and the integrity of medical and demographic patient records. Acting as the primary point of contact for visitors and staff, the receptionist manages the full lifecycle of patient documentation, including the meticulous organization, auditing, and filing of medical records in compliance with company and regulatory standards. This role is essential in supporting interdepartmental communication, particularly between clinical facilities, surgical centers, and the Billing and Accounting departments.
The successful candidate will demonstrate strong organizational skills, attention to detail, and the ability to handle a high volume of document management alongside daily administrative tasks. Duties include processing and digitally filing patient records, conducting routine audits for accuracy and completeness, managing discrepancies, and ensuring secure document retention and disposal. Additionally, the receptionist coordinates with surgical facilities regarding outstanding records and billing-related documentation while providing excellent customer service and professional front desk operations. The role also involves general office support such as managing communications, scheduling appointments, maintaining office supplies and cleanliness, and assisting with miscellaneous administrative duties.

- Proficiency with electronic health record and document management systems

Job Duties
- Review, sort, and digitally file patient medical and demographic records
- Conduct routine file audits to ensure completeness and compliance
- Identify and resolve filing discrepancies and duplicate records
- Maintain document version control and secure retention
- Track and escalate outstanding documentation and discrepancies
- Coordinate communication with surgical facilities and billing department
- Serve as liaison between clinical facilities and internal departments
- Greet and assist visitors professionally
- Handle phone calls and company inquiries
- Manage incoming and outgoing mail
- Schedule meetings and maintain calendars
- Perform clerical duties such as photocopying and scanning
- Maintain front office cleanliness and organization
- Complete errands as requested by management
- Communicate proactively about project deadlines
- Perform additional duties assigned by management or executives
