The Front Office Receptionist at CMC plays a vital role as a key member of the Care Team. This position is responsible for delivering an excellent customer service experience by welcoming and assisting patients, visitors, and clients warmly and professionally both in person and through phone and text-based communication. The receptionist ensures smooth patient flow by efficiently scheduling appointments, managing patient registration, verifying insurance and eligibility, and supporting patient portal education. They perform a variety of administrative and clerical tasks such as patient screening, confirmation calls, chart updates, and communication coordination within the care team. Their role extends to assisting with empanelment and team-based care efforts to promote continuity of care and improve provider utilization. With attention to detail and strong interpersonal skills, the Front Office Receptionist must uphold confidentiality protocols aligned with HIPAA requirements and organizational standards. This position reports directly to the Front Office Supervisor or Center Manager and actively participates in routine training and meetings for continual professional development. Job Requirements
- Completion of high school or GED
- At least one year of full-time receptionist experience, or customer service experience in community-based setting, or medical receptionist/assistant training completion
- Ability to provide sensitive and respectful care to diverse backgrounds
- Proficiency in computer operations and data entry
- Ability to type 35 words per minute (typing certificate preferred)
- Knowledge of grammar, spelling, and punctuation
- Skill in operating computer, phone, copier, and fax machine
- Ability to communicate clearly and diplomatically
- Ability to maintain quality control standards and confidentiality
- Capacity to handle stressful situations calmly
- Ability to learn clinical and web-based applications
- Ability to coordinate communication via multiple platforms
- Ability to establish and maintain effective working relationships with patients and staff
- Ability to perform physical tasks such as sitting long periods, bending and lifting up to 35 pounds
- Correctable vision to 20/40 and normal hearing for phone use.
Job Qualifications
- Completion of high school or possession of GED
- At least one year of full-time experience as a receptionist or in customer service within a community-based organization, or completion of medical receptionist or assistant training
- Ability to provide sensitive and respectful care to diverse individuals
- Proficiency in computer use and data entry
- Knowledge of business office procedures
- Excellent communication skills
- Ability to operate office equipment
- Skill in greeting patients and answering phones in a pleasant manner

Job Duties
- Promotes the mission, vision, and values of the organization
- Warmly welcome and greet patients, clients, visitors to the clinic in person, on the phone or via text, determine purpose of visit and direct to appropriate person or department
- Perform patient/visitor screening per CMC guidelines
- Register patients within the Electronic Health Record and collect, enter, scan or update patient data
- Schedule appointments via phone, in person or text messaging platform following organizational policies
- Verify information accuracy, obtain necessary consents and document accordingly
- Screen patients for insurance and program eligibility, verify insurance, submit corrections as needed
- Review and adjust appointments to align patients with their Primary Care Provider
- Conduct confirmation calls prior to appointments to confirm patient availability and gather information
- Organize appointments maintaining communication between front and back office and patients
- Utilize pre-visit planning tools to reduce missed opportunities and improve care
- Attend meetings and trainings for professional growth and compliance
- Maintain confidentiality and HIPAA privacy protocols
- Communicate timely with care team and patients regarding schedule changes
- Handle follow-up on critical tasks and route queries appropriately
- Follow managed care procedures for authorization of services
- Assist with patient portal education and registration
- Conduct outreach to patients with gaps in care
- Provide training support for new staff
- Scan patient forms as appropriate
- Manage communications including email, phone, and text
- Answer calls, take messages, and provide information courteously
- Open and close clinic buildings as required
- Handle payments and balance cash
- Address patient complaints professionally
- Open, sort, and distribute mail
- Process medical record requests
- Travel to different sites as assigned
- Perform other assigned tasks.
