The current opportunity is for an administrative support role at their health centers, focusing on front-office responsibilities. This role involves being the first point of contact for patients and visitors, managing reception duties, appointment scheduling, and assisting clinical staff by ensuring smooth administrative operations. Job Requirements
- High school diploma or general education degree (GED)
- 1-3 years of related professional experience in a medical office environment or equivalent combination of education and experience
- Proficiency in electronic medical record systems
- Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint
- Ability to manage multiple tasks and prioritize effectively
- Strong communication and interpersonal skills
- Ability to maintain confidentiality and adhere to HIPAA regulations
- Positive attitude and customer service orientation
- Flexibility to adapt to a fast-paced and changing healthcare environment
Job Qualifications
- High school diploma or general education degree (GED)
- 1-3 years of related professional experience in a medical office environment or equivalent combination of education and experience
- Associate degree in healthcare or a related field preferred
- Proficiency in the use of an electronic medical record system
- Strong technical expertise using Microsoft Teams and Microsoft 365 including Word, Excel, Outlook, PowerPoint
- Excellent written and oral communications skills
- Exceptional customer service skills and ability to promote teamwork
- Excellent time management skills and ability to multi-task, prioritize work, execute a plan, and meet deadlines
- Flexibility and adaptive skills with the ability to effectively manage competing priorities in a constantly evolving workplace

Job Duties
- Answer incoming calls on general office phone, validate member status, answer emails or other electronic messages, respond as appropriate, answer questions and refer questions to medical staff as needed
- Welcome patients and visitors by greeting them, in person or on the telephone
- Optimize patients' satisfaction, provider time, and room utilization by scheduling appointments in person or by telephone
- Keep patient appointments on schedule by notifying provider of patient's arrival, reviewing service delivery compared to schedule, reminding provider of service delays
- Comfort patients by anticipating patients' anxieties and answering questions
- Ensure availability of treatment information for the provider by filing and retrieving patient records
- Maintain patient accounts by obtaining, recording, and updating personal and financial information
- Collect money for co-pays, reconcile credit cards and cash, tally the cash drawer and prepare deposits
- Complete prior authorization paperwork for insurance, fax communications for referrals, or perform similar administrative duties
- Maintain front reception area in a clean and professional looking manner
- Stock and re-stock office equipment and manage outgoing and incoming deliveries
- Assist Medical Assistants with Electronic Medical Record data entry by entering patient information and other information as required
- Maintain confidentiality of patients and their records and maintain HIPAA regulations and protocol
- Perform other duties as assigned or required
