This role requires exceptional interpersonal skills and the ability to maintain a warm and welcoming atmosphere in addition to managing multiple administrative functions. The Receptionist / Front Desk Coordinator is responsible for greeting individuals courteously, answering and directing phone calls, coordinating patient check-in and check-out processes, verifying patient information, and collecting payments as necessary. Moreover, this position supports the flow of patients through the surgery center by notifying clinical staff about arrivals and maintaining clear communication channels. This highly visible role requires dependability, organizational skills, attention to detail, and the capacity to handle a fast-paced healthcare setting while ensuring patient confidentiality consistent with HIPAA guidelines. Candidates must be professional in appearance and demeanor and able to execute a wide range of clerical duties including document scanning, filing, scheduling assistance, mail distribution, and managing office supplies. Job Duties
- greet and assist patients, visitors, physicians, and vendors in a courteous and professional manner
- answer and direct incoming phone calls
- check patients in and out for surgical procedures
- verify and update patient demographic and insurance information
- collect required forms, signatures, and payments when applicable
- maintain patient confidentiality in accordance with HIPAA regulations
- notify clinical staff of patient arrivals and assist with patient flow
- scan, upload, and file documents as needed
- assist with organizing charts, paperwork, and daily schedules
- maintain reception and waiting areas in a clean and orderly manner
- assist with copying, faxing, emailing, and other clerical duties
- receive and distribute mail and deliveries
- help maintain office and front desk supplies
- communicate professionally with patients, physicians' offices, vendors, and staff
- relay messages accurately and promptly
- assist with scheduling-related communication when needed
- support management and clinical staff with administrative projects as assigned
