Job Description

As a Front Office Manager, you will be the face of the hotel’s exceptional guest experience. Your role will include managing the front desk operations, ensuring guests feel warmly welcomed and expertly assisted throughout their stay. Your leadership will involve scheduling and supervising guest service staff, maintaining efficient operations, and enforcing financial control procedures. You will serve as a visible presence at the front desk, creating personalized experiences by understanding guests' needs and preferences, and communicating effectively with both guests and team members to ensure smooth service delivery. Your responsibilities will include supervising check-in and checkout processes, managing staff schedules according to forecasted sales, and fostering collaboration with housekeeping, maintenance, and food and beverage departments. You will also handle conflict resolution with professionalism and contribute to the overall operational success of the hotel.

Your role extends beyond daily tasks to include ensuring all team members are trained in financial controls and deliver services with accuracy and efficiency. You will need to maintain up-to-date knowledge of hotel services, local attractions, dining options, and events to provide comprehensive concierge service, enhancing the guest’s stay. Attention to detail, exceptional organizational skills, and the ability to interact amicably with guests and colleagues are essential. This position requires flexibility as you will sometimes act as Manager On Duty and assist other hotel areas whenever necessary.

Job Requirements

Job Qualifications

  • High school diploma or equivalent
  • Experience in hotel front office operations
  • Strong leadership and supervisory skills

Job Duties

  • Be visible at the front desk
  • Schedules associates in accordance with forecasted sales
  • Adjust staffing as necessary for sudden changes
  • Plan, assign, supervise and participate in daily activities of Guest Service staff
  • Participate in prompt and courteous check in and checkout of guests
  • Use guests’ names when communicating with them
  • Provide gracious and efficient telephone service answering promptly and knowledgeably
  • Demonstrate a working knowledge of all hotel services, facilities and programs to assist guests effectively
  • Respond to guests’ requests promptly, efficiently, and courteously
  • Communicate effectively
  • Arrange fulfillment of guest services by coordinating with housekeeping, maintenance and food and beverage
  • Review and update communication log book each shift
  • Resolve conflicts and negotiate effectively
  • Demonstrate teamwork by cooperating, assisting and communicating with co-workers
  • Provide concierge service with fluent knowledge of local area, attractions, restaurants and events
  • Deliver requested items to guestrooms such as rollaway beds, cribs, pillows, towels and luggage
  • Confirm all duties and reports on shift checklist are completed accurately
  • Ensure staff is trained in financial control procedures and follows them regularly
