The Front Office Coordinator at Multimatic plays a crucial role as the initial point of contact within the Human Resources department. This is not an entry-level position, emphasizing the need for experience and professionalism. The Front Office Coordinator is responsible for managing the daily administrative tasks that support HR operations and contribute to the overall employee experience. Key duties include greeting and assisting associates, visitors, vendors, and contractors while maintaining a warm, welcoming, and professional front office. The role involves managing phone calls, communication routing, record keeping, and office supply management, all of which require excellent organizational skills and attention to detail.
In addition to front office duties, the Coordinator supports a variety of administrative processes including data entry, employee record maintenance, attendance tracking, and compliance with federal requirements such as I-9 documentation. The role also involves coordinating employee engagement activities such as recognition events and celebrations to foster a positive and inclusive workplace culture. This position works closely with the Human Resources Manager and other departments to ensure seamless operations and a high level of service.

Job Requirements
- High school diploma or GED
- Two years of administrative, office coordination, receptionist, or customer service experience
- Must have proficiency with Microsoft Office, particularly Excel and Outlook
- Experience working with databases, spreadsheets, or tracking systems
- Strong written and verbal communication skills
- Excellent organizational and time management skills
Job Qualifications

Job Duties
- Serve as the first point of contact for associates, applicants, visitors, vendors, and contractors
- Greet visitors and maintain a welcoming, professional front office environment
- Answer and direct incoming phone calls, radio communications, and walk-in inquiries
- Route associates to the appropriate department or team member for assistance
- Maintain visitor logs, confidentiality agreements, contractor documentation, and related records
- Perform accurate data entry and maintain departmental spreadsheets, trackers, and reports
- Maintain employee records and departmental files in accordance with company procedures
