The Front Office Coordinator role at Heathwood Hall Episcopal School is a crucial position within the school's administrative team. Reporting directly to the Project Manager, this full-time role operates during the standard workweek, from Monday to Friday, 8:00 AM to 4:30 PM. The ideal candidate will serve as the first point of contact for visitors, parents, and staff, effectively managing the reception area while supporting multiple departments with various administrative duties. This position demands a high level of professionalism, organization, and communication skills, as well as the ability to manage multiple tasks in a fast-paced, dynamic educational environment.

The Front Office Coordinator is responsible for handling daily front desk operations, including answering and directing telephone calls, coordinating visitor and vendor access in collaboration with campus security, and maintaining important databases such as vehicle registrations. Additionally, the role manages financial transactions by processing payments and generating relevant reports, creating and managing employee identification badges, and facilitating sales through systems like Square for different departments. The Coordinator also provides technical support related to front office equipment such as printers, copiers, and postage systems, manages the inventory of office supplies, and supports overall administrative and reception functions as needed.

Success in this role requires proficiency in Google Workspace and spreadsheet management, strong written and verbal communication abilities, excellent organizational skills, and a keen attention to detail. The ability to maintain confidentiality, handle multiple priorities independently, and quickly adapt to new technologies is essential. The candidate should be comfortable working autonomously while supporting the varied needs of the school's departments, helping to ensure smooth daily operations on campus.

Heathwood Hall Episcopal School prefers candidates with a bachelor’s degree or equivalent professional experience and seeks individuals with a background in administrative coordination, office operations, or customer service. Prior experience in managing data, records, or operational systems will be advantageous. The position also entails physical activities such as walking, standing, stooping, and lifting up to 50 pounds, given the size and nature of the school campus.
