The Front Office Coordinator role at Nevada Sage Waldorf School is a full-time position that plays a vital role in the smooth and effective operation of the school’s administrative functions. Operating Monday to Friday, from 7:45 AM to 3:45 PM, the coordinator acts as the welcoming face of the school, supporting students, families, faculty, staff, and the board of directors. This role requires a professional and friendly demeanor, excellent organizational skills, and the ability to multitask efficiently. The Front Office Coordinator manages communication channels including phones and emails, handles sensitive information with confidentiality, and maintains a tidy and professional front office environment.

Additionally, the coordinator supports daily operations by managing student attendance records, employee timesheets, field trip documentation, and safety procedures. They assist with event coordination, fundraising efforts, and facilitate communication between the different stakeholders of the school community. Critical to this role is the ability to provide minor first aid, maintain campus security, and coordinate with maintenance and service providers. The position also involves overseeing facility appearance and maintenance schedules, ensuring health and safety compliance, and managing office supplies.

Proficiency with school management software and general office equipment is essential, along with a willingness to assist with tasks outside the direct scope of the role to support the entire school staff. The school requires background clearances including Department of Justice, FBI, and Child Abuse Reference checks along with CPR certification and a negative TB test as mandatory health and safety prerequisites.

Job Duties

  • Be the primary contact for students, parents, and employees each day
  • maintain confidentiality of sensitive information
  • answer phones, take and return messages promptly
  • regularly check and respond to emails
  • distribute and manage mail including postal service holds
  • keep front office area clean, tidy, and professional
  • assist parents with questions and support communication with the Community Coordinator
  • create and manage monthly attendance logs and employee timesheets
  • handle student attendance and illness reports
  • maintain field trip volunteer driver information
  • support meetings and events as needed
  • assist with fundraising printing and mailing
  • act as liaison for Washoe County regulators when necessary
  • keep office procedures and service provider lists updated
  • manage office supplies inventory and snack groceries
  • provide minor first aid
  • contact parents/guardians of sick children and maintain health logs
  • ensure campus security and monitor building access
  • schedule and log fire and disaster drills
  • coordinate pest control and maintenance tasks
  • manage air quality monitoring
  • operate school software and equipment like copy machines, laminators, dishwashers, thermostats, and air purifiers
  • maintain the facility’s professional appearance
  • coordinate with cleaning services and waste management
  • oversee facility repairs and upgrades
  • support HR with employee record management
  • maintain reimbursement and check records
  • assist staff with varied administrative tasks as assigned
