RAYUS Radiology is currently seeking a Front Office Associate to join their team on a temporary (PRN) basis. This role is ideal for individuals who thrive in a fast-paced healthcare setting and enjoy interacting directly with patients and medical professionals. The position involves working approximately 12 hours per week during weekends, making it a perfect fit for candidates seeking flexible work hours. As a Front Office Associate at RAYUS, you will play a crucial role in ensuring a smooth patient experience from the moment they enter the radiology center. You will be the first point of contact, greeting patients with warmth and professionalism, efficiently managing appointment scheduling, and handling patient registration and payment processing. This position requires excellent communication skills, attention to detail, and the ability to multitask while maintaining a friendly and helpful demeanor.

Your responsibilities will include answering and directing phone calls, coordinating with imaging technologists, and maintaining an organized front office environment. Additionally, you will assist with patient appointment confirmations and provide essential information about exam preparations. The role also involves verifying insurance coverage, obtaining necessary authorizations, and facilitating the release of medical information following company protocols.

Job Requirements

  • High School Diploma or equivalent
  • one year of customer service experience
  • proficient in using computer systems and typing
  • working knowledge of Microsoft Office Suite including Outlook, Word, Teams, Excel

Job Duties

  • Greet and check-in patients scheduled for imaging services
  • process payments and copays as needed
  • answer phones and handle calls efficiently and friendly
  • act as liaison between imaging technologists and patients waiting for exams
  • maintain organization of the front office lobby area
  • order office supplies as needed
  • maintain supply of patient information sheets
  • complete patient appointment confirmation calls and provide preparation instructions
  • fax/scan reports, billing information, and medical release forms
  • arrange transportation, interpreters, and hotel accommodations for patients
  • enter and submit patient exam orders
  • verify patient exam orders match exam schedules
  • schedule referrals and ensure proper authorizations are obtained
  • schedule walk-in patients
  • process requests for image orders and CDs
  • maintain an up-to-date and accurate database of referring physicians
  • verify patient insurance coverage
  • pre-certify patient exams
  • obtain insurance authorizations
  • apply knowledge of insurance carriers and procedures to obtain pre-authorization
  • facilitate release of information requests
  • complete other tasks and projects as assigned
