Job Description

The Front Office Assistant position at MemorialCare is a per diem role based in Long Beach, California, within the Facility Operations department. This role involves performing front office duties that support multiple medical practices, focusing on delivering excellent patient and team member interactions built on the organization's 'Simply Better' five-step approach. Scheduled shifts include weekdays with rotating weekends and coverage on three major holidays, offering $24 per hour compensation with potential additional earnings through shift differentials, extra shift incentives, and bonuses. The Front Office Assistant will be instrumental in managing critical administrative tasks such as assuring complete pre-arrival patient processing, assisting new patients with forms, verifying insurance and registration information, collecting payments, scheduling appointments, and maintaining a safe and welcoming patient environment.

In this role, an individual must demonstrate computer proficiency, especially with scheduling and electronic health record (EHR) systems like EPIC, and extensive knowledge of insurance protocols and patient financial obligations. The assistant also answers and directs telephone calls efficiently, monitors patient waiting times to improve service quality, files and distributes materials, and actively participates in identifying and implementing improvement opportunities. Job Requirements

  • High school diploma or equivalent
  • medical office experience required
  • prior insurance verification experience required
  • proficiency with EPIC system preferred
  • medical terminology certificate preferred
  • current Basic Life Support (BLS) for Healthcare Provider
  • availability to work days, evenings, rotating weekends, and major holidays
  • strong communication and organizational skills
  • ability to maintain professionalism and confidentiality

Job Qualifications

  • Must have medical office experience
  • oncology specialty preferred
  • prior insurance verification experience required
  • EPIC experience highly preferred
  • high school graduate or equivalent
  • medical terminology certificate preferred
  • current BLS for Healthcare Provider required

Job Duties

  • Ensure pre-arrival patient process is complete
  • assist new patients with patient information forms
  • accurately verify patient registration data
  • verify insurance eligibility prior to patient visit
  • collect and receipt payments accurately
  • produce error-free batches including counting and balancing in agreement with EHR
  • maintain knowledge of insurance requirements including patient financial obligations
  • demonstrate proficiency in computer management systems
  • manage scheduling functions using proper registration protocols and editing patient data
  • confirm and reschedule all appointments as directed
  • process arrived, cancelled, rescheduled, and no-show appointments per protocol
  • answer all calls within three rings and direct efficiently
  • monitor lobby for prolonged patient waiting and notify appropriate parties
  • ensure patient areas are safe and free from hazards
  • identify improvement opportunities and escalate as needed
  • receive, file, sort, and distribute incoming and outgoing materials
  • perform additional duties as requested within scope of knowledge
  • other duties as assigned
