Additionally, the role involves assisting with client inquiries about agency services, referral information, and application processes for CAP Tulsa’s Early Childhood Program. The position includes clerical support for the Admissions & Recruitment Department, such as data entry, preparing labels for application files, ordering office supplies, and budgeting tasks. The Assistant also ensures security procedures are followed by monitoring visitor logs and issuing badges, maintaining a clean and safe reception area, and managing conference room scheduling.

This position is generally an in-person role requiring regular attendance at the assigned work site. However, there may be occasional opportunities for temporary remote work based on business necessities, weather conditions, or special projects. Physical demands include standing, walking, bending, lifting light to moderate objects, and maintaining focus under deadlines. Job Duties

  • Conduct reception responsibilities including receiving contacts professionally
  • forward calls to appropriate personnel
  • disseminate verbal and written messages clearly and confidentially
  • accurately answer client inquiries regarding the agency
  • provide information about referral agencies
  • assist walk-in clients and visitors by recording check-in times and notifying personnel
  • sort and disseminate incoming correspondence including emails faxes and voicemails
  • provide clerical and administrative support to Admissions & Recruitment department including label creation data entry supply ordering and budget monitoring
  • maintain security by following procedures monitoring visitor logs and issuing badges
  • keep reception area safe and clean by complying with procedures rules and regulations
  • confirm requests for conference rooms and maintain conference room calendars accurately
  • provide program information and application instructions to clients and document all client contacts
  • assist with document retention processes for students who drop or age out
  • perform other duties as assigned or requested
