The role of Front Office Assistant is a full-time position located in Huntington Beach, CA, specifically within the Urgent Care department. This position operates on a weekday schedule, Monday through Friday, from 9:30 AM to 6 PM, providing a stable work routine. Depending on experience, the hourly pay range is between $23.00 and $30.08, with entry-level positions starting at $23.00 to $28.64. Additionally, a $1,500 signing bonus is available for external hires new to MemorialCare upon meeting employment requirements.
The Front Office Assistant is responsible for managing front office duties across various medical practices assigned to them. This vital role involves utilizing the "Simply Better" five-step approach in every interaction with patients and team members to ensure a welcoming and efficient patient experience. Key responsibilities include processing pre-arrival patient information, assisting new patients with required forms, verifying registration and insurance information accurately, collecting payments, and maintaining error-free documentation consistent with electronic health record guidelines. Proficiency in computer management systems is expected, especially for scheduling functions, registration protocols, and managing visit types.
The Front Office Assistant must effectively handle appointment scheduling duties, including confirming, rescheduling, and processing cancellations or no-shows. They are also tasked with answering incoming telephone calls promptly and professionally, monitoring patient wait times in the lobby, ensuring safety and cleanliness in patient areas, and identifying opportunities for process improvements. This role demands excellent organizational skills and the ability to multitask in a fast-paced healthcare environment. Attention to detail, exceptional customer service skills, and strong communication abilities are essential to excelling in this position.

- current BLS for Healthcare Provider

Job Duties
- Ensure pre-arrival patient process is complete
- assist new patients with Patient Information Forms
- accurately verify patient registration data
- verify insurance eligibility prior to patient visit
- collect and receipt payments accurately
- maintain knowledge of insurance requirements including patient financial obligations
- demonstrate proficiency in computer management systems
- use proper registration protocols with all new patients
- edit existing patient data
- utilize proper visit types
- confirm and reschedule all appointments as directed
- reschedule any bumped appointments
- process arrived, cancelled, rescheduled, and no-show appointments per protocol
- answer all calls within 3 rings
- screen and direct all incoming telephone calls in an efficient and professional manner
- monitor lobby for prolonged patient waiting by notifying appropriate party when extended waiting time occurs
- notify management of patient issues
- ensure patient areas are safe, clear, and free from hazards
- identify improvement opportunities
- implement countermeasures and escalate to appropriate management resource as needed
- receive, file, sort, and distribute all incoming and outgoing materials appropriately
- perform any additional duties as requested by management within scope of knowledge and ability
