The role of Front Office Assistant is a per diem position located in Westminster, CA, within the Urgent Care department. This role offers a competitive pay rate of $24.00 per hour, with scheduled shifts on Wednesday and Thursday evenings from 5 p.m. to 9:30 p.m., and Saturdays from 8:50 a.m. to 5:20 p.m. The Front Office Assistant is essential to the smooth operation of medical practices, performing critical front office duties by following MemorialCare's five Simply Better steps to ensure every interaction with patients and team members is handled efficiently and professionally. Primary responsibilities include managing patient pre-arrival processes, assisting new patients with necessary forms, verifying insurance and registration data, processing payments accurately, and maintaining knowledge of insurance requirements.

This position demands proficiency in electronic health record (EHR) systems and computer management tools, including scheduling and registration protocols. The Front Office Assistant also plays a vital role in appointment coordination, including confirming, rescheduling, and managing no-show appointments. Answering and directing incoming phone calls promptly and professionally is another key responsibility. Maintaining a safe and welcoming patient lobby environment is critical, as is recognizing and escalating patient issues to management. Additional duties involve managing mail and materials and contributing to continuous improvement efforts within the department. Job Requirements

  • High school diploma or equivalent
  • prior medical office experience
  • current BLS for Healthcare Provider certification
  • basic computer skills including proficiency with EHR systems
  • excellent communication and interpersonal skills
  • ability to manage multiple tasks efficiently

  • ability to work a flexible per diem schedule including evenings and weekends

Job Qualifications

  • Prior medical office experience required
  • high school graduate or equivalent required
  • medical terminology certificate preferred
  • current BLS for Healthcare Provider required

Job Duties

  • Ensure pre-arrival patient process is complete
  • assist new patients with patient information forms
  • accurately verify patient registration data and insurance eligibility
  • collect and receipt payments accurately
  • maintain knowledge of insurance requirements including patient financial obligations
  • demonstrate proficiency in computer management systems
  • confirm and reschedule appointments as directed
  • answer all calls within three rings and direct incoming telephone calls professionally
  • monitor lobby for prolonged patient waiting and notify appropriate parties
  • ensure patient areas are safe, clear, and free from hazards
  • identify improvement opportunities and escalate to management as needed
  • receive, file, sort, and distribute incoming and outgoing materials appropriately
  • perform additional duties as assigned
