The Front Office Assistant role, based in Irvine, CA within the Family Medicine department, is a full-time position offering day shifts of 8 hours each. The pay range for this role is competitive, between $22.25 and $30.08 per hour, reflective of experience and qualifications. This position is vital in managing the front office operations to ensure smooth and efficient patient care flow. The assistant is responsible for greeting and registering patients, updating their demographic information, managing patient flow to meet provider expectations, handling co-pays and deductibles with accuracy, and explaining insurance or billing questions clearly to patients.

The role demands strong organizational and communication skills, as it involves handling telephone calls, following office protocols for scheduling and triage, and ensuring all interactions comply with HIPAA and privacy requirements. The Front Office Assistant will also audit daily visit records for discrepancies, maintain patient records, manage office supplies, and contribute to the overall efficiency of the medical practice. Job Requirements

  • High school diploma or equivalent
  • Minimum 2 years medical office experience
  • Knowledge of medical terminology
  • Experience with electronic medical records
  • Ability to handle cash transactions accurately
  • Strong communication and customer service skills
  • Familiarity with HIPAA regulations
  • Ability to operate Practice Management systems effectively
  • Current BLS certification preferred
  • Medical Assistant Certificate preferred

Job Qualifications

  • Minimum 2 years medical office and customer service experience
  • Working knowledge of medical terminology
  • Experience with electronic medical records, NEXTGEN a plus
  • High school graduate or equivalent
  • Current BLS for Healthcare Providers preferred
  • Medical Assistant Certificate from accredited school preferred

Job Duties

  • Greet and register patients timely, updating demographic information
  • Manage patient flow to accommodate provider productivity
  • Demonstrate proper cash handling procedures and accurately collect co-pays and deductibles
  • Explain insurance and billing questions related to patient coverage and co-payment
  • Review daily visits for discrepancies including missing charges and diagnoses
  • Use Practice Management system reports relevant to position
  • Receive and document incoming telephone calls and messages
  • Follow office protocols for telephone triage and medical advice guidelines
  • Practice excellent customer service with patients, physicians, and staff
  • Schedule appointments while protecting patient privacy and complying with HIPAA
  • Scan, file, maintain records, assist with office supplies
  • Complete patient forms and records requests promptly
  • Perform additional duties as assigned
