The Front Office Assistant role based in Fountain Valley, CA, within the OB/GYN department, is a full-time, day shift position offering 8-hour shifts. The position is designed to support medical practices by executing front office responsibilities with an emphasis on delivering exceptional patient and team member interactions through the organization's proprietary five Simply Better steps. Compensation for this role varies based on experience with FOA Level 1 ranging from $22.00 to $28.64 per hour for candidates with up to 2 years of experience, and FOA Level 2 offering $22.25 to $30.08 per hour for those with over 2 years of experience. Additionally, a $1,500 signing bonus is available to external hires new to MemorialCare upon successful fulfillment of employment requirements.

The role requires the Front Office Assistant to handle a comprehensive range of patient-facing duties including pre-arrival patient processing, patient registration, insurance verification, payment collection, appointment scheduling, and managing communication effectively. Proficiency with electronic health records (EHR) systems, especially EPIC, is highly preferred, alongside a familiarity with insurance protocol and patient financial obligations. The assistant is also responsible for maintaining a safe and welcoming patient environment by monitoring lobby conditions and managing patient appointment flow efficiently to minimize wait times. They play a critical role in ensuring error-free registration and billing processes, accurately balancing payment batches, and producing documentation consistent with established standards.

Beyond routine tasks, the position encourages identifying and implementing process improvements to enhance service delivery. It requires strong interpersonal skills to manage telephone communications professionally and handle unexpected situations related to patient care or scheduling. The Front Office Assistant acts as a key point of contact within the medical office, supporting the broader team and contributing to a seamless healthcare experience.   • Prior insurance verification experience preferred

  • Current BLS for Healthcare Provider required

Job Duties

  • Ensure pre-arrival patient process is complete
  • Assist new patients with patient information forms
  • Accurately verify patient registration data
  • Verify insurance eligibility prior to patient visit
  • Collect and receipt payments accurately
  • Produce error-free batches including counting and balancing
  • Maintain knowledge of insurance requirements including patient financial obligations
  • Demonstrate proficiency in computer management systems
  • Use proper registration protocols with all new patients
  • Edit existing patient data
  • Utilize proper visit types
  • Confirm and reschedule all appointments as directed
  • Reschedule any bumped appointments
  • Process arrived, cancelled, rescheduled, and no-show appointments per protocol
  • Answer all calls within 3 rings
  • Screen and direct all incoming telephone calls professionally
  • Monitor lobby for prolonged patient waiting and notify appropriate party
  • Notify management of patient issues
  • Ensure patient areas are safe, clear, and free from hazards
  • Identify improvement opportunities and implement countermeasures
  • Receive, file, sort, and distribute incoming and outgoing materials appropriately
  • Perform additional or miscellaneous duties as requested by management
