Job Description

The Front Office Assistant position, located in Laguna Hills, CA within the Primary Care department, plays a critical role in supporting medical practices by ensuring efficient front office operations. This is a full-time, day-shift role offering 8-hour shifts with pay ranges dependent on experience. Level 1, suitable for candidates with 0 to 2 years of experience, offers hourly wages between $22.00 and $28.64, while Level 2, for those with over 2 years of experience, ranges from $22.25 to $30.08 per hour. Additionally, external hires new to MemorialCare employment may be eligible for a $1,500 signing bonus contingent upon meeting employment requirements.

The Front Office Assistant is responsible for a variety of essential duties, including managing patient pre-arrival processes, helping new patients complete information forms, and verifying patient registration and insurance eligibility. Accurate handling of patient payments and ensuring balanced electronic health record batches are key parts of the role. The assistant must maintain up-to-date knowledge of insurance requirements and patient financial obligations while demonstrating proficiency in computer management systems, including patient scheduling and data editing. Effective communication is vital, as the role demands answering calls professionally and adhering to service standards such as answering within three rings. Monitoring patient wait times and notifying staff to manage delays, ensuring safety and cleanliness in patient areas, and managing office materials are also fundamental responsibilities. The assistant is expected to continually seek process improvement opportunities and to perform additional duties as assigned within their scope of knowledge.

Job Requirements

  • High school graduate or equivalent
  • Prior customer service experience
  • Current BLS for Healthcare Provider
  • Ability to follow established office protocols
  • Strong communication and organizational skills
  • Proficiency with computer systems for scheduling and registration
  • Attention to detail and accuracy in data handling
  • Ability to manage multiple tasks in a fast-paced environment

Job Qualifications

  • Prior medical office experience preferred
  • Prior customer service experience required
  • High school graduate or equivalent required
  • Medical Terminology Certificate preferred
  • Current BLS for Healthcare Provider required

Job Duties

  • Ensure pre-arrival patient process is complete
  • Assist new patients with Patient Information Forms
  • Accurately verify patient registration data
  • Verify insurance eligibility prior to patient visit
  • Collect and receipt payments accurately and follow through with all changes
  • Produce error-free batches which include counting and balancing in agreement with EHR
  • Maintain knowledge of insurance requirements including patient financial obligations
  • Demonstrate proficiency in computer management systems
  • Use proper registration protocols with all new patients
  • Edit existing patient data
  • Utilize proper visit types
  • Confirm and reschedule all appointments as directed
  • Reschedule any bumped appointments
  • Process arrived, cancelled, rescheduled, and no-show appointments per protocol
  • Answer all calls within 3 rings
  • Screen and direct all incoming telephone calls efficiently and professionally
  • Monitor lobby for prolonged patient waiting and notify appropriate party
  • Notify management of patient issues
  • Ensure patient areas are safe, clear, and free from hazards
  • Identify improvement opportunities, implement countermeasures and escalate to appropriate management resource as needed
  • Receive, file, sort, and distribute all incoming and outgoing materials appropriately
  • Perform additional duties as requested by management within scope of knowledge and ability
  • Other duties as assigned
