The Front Office Assistant role at MemorialCare is a full-time position based in Laguna Hills, CA, specifically within the Oncology department. This role works daytime shifts of 8 hours, with pay commensurate with experience ranging from $22.00 to $30.08 per hour. An attractive signing bonus of $1,500 is available for external candidates new to MemorialCare's employment, contingent upon fulfillment of employment requirements. This position plays a crucial part in supporting the medical practices by facilitating patient access and ensuring smooth front office operations. The incumbent will be responsible for handling pre-arrival patient processes, accurately verifying patient registrations and insurance eligibility, collecting payments, managing appointments, and maintaining a safe, welcoming environment for patients and visitors.

The Front Office Assistant must demonstrate proficiency with computer management systems and scheduling functions. Knowledge of insurance requirements and patient financial obligations is essential, as is the skill to produce accurate and error-free work in alignment with electronic health record systems. The role further demands excellent interpersonal and communication skills to efficiently screen and direct telephone calls within three rings, monitor patient waiting times, and identify opportunities for operational improvement. The assistant will also be tasked with maintaining proper filing and distribution of materials and accommodating miscellaneous duties as assigned, highlighting a dynamic and collaborative component of the position.

Job Requirements

  • High school diploma or equivalent
  • Customer service experience
  • Preferably medical office experience
  • Current BLS certification for healthcare provider
  • Ability to manage computer systems and scheduling
  • Strong communication skills
  • Attention to detail in handling patient data and payments

Job Qualifications

  • Must have customer service experience

  • Medical terminology certificate preferred
  • Current BLS for healthcare provider required

Job Duties

  • Ensure pre-arrival patient process is complete
  • Assist new patients with patient information forms
  • Accurately verify patient registration data and insurance eligibility prior to patient visit
  • Collect and receipt payments accurately and follow through with all changes
  • Maintain knowledge of insurance requirements including patient financial obligations
  • Demonstrate proficiency in computer management systems
  • Use proper computer scheduling functions with correct registration protocols
  • Confirm and reschedule all appointments as directed
  • Answer all calls within 3 rings and screen and direct all incoming telephone calls professionally
  • Monitor lobby for prolonged patient waiting and notify appropriate parties
  • Ensure patient areas are safe, clear, and free from hazards
  • Identify improvement opportunities and escalate to appropriate management
  • Receive, file, sort, and distribute all incoming and outgoing materials
  • Perform additional or miscellaneous duties as requested within scope of knowledge and ability
