Head Well - Integrative Psychiatry & Wellness is a distinguished woman-owned outpatient mental health clinic dedicated to providing innovative and compassionate psychiatric care. Located in a beautiful 7,000 square foot facility between downtown Eugene and the Waterfront district, our clinic offers a unique blend of services including integrative psychiatry, therapy, Spravato and ketamine treatments, hormone and genetic testing, and in-house labs. Our mission is to foster healing and wellness through a holistic approach that combines cutting-edge science with individualized patient support. We are currently seeking a warm, professional, and highly organized Front Office Administrator to join our team on a part-time basis. This role is instrumental in ensuring the smooth daily operations of our clinic, facilitating patient satisfaction, and maintaining efficient administrative workflow at the front desk. The ideal candidate will be someone passionate about mental health work and eager to contribute to a supportive and high-functioning environment. As the first point of contact for clients, the Front Office Administrator plays a critical role in creating a welcoming and respectful atmosphere, managing communications, scheduling, and coordinating among providers, clients, and staff.
In this position, the administrator will be responsible for greeting and checking in clients with professionalism and compassion, handling phone calls, voicemail, and appointment requests, and managing calendar scheduling across various clinical programs. Additional duties include verifying insurance, collecting copayments, supporting patient intake paperwork and electronic documentation, and ensuring the front office and waiting areas remain tidy and inviting. The role also demands strict adherence to HIPAA regulations, maintaining confidentiality and security of sensitive health information. Opportunities for growth within the position exist, including the potential to increase hours or transition to full-time for the right candidate. The position offers competitive starting pay based on experience and qualifications, ranging from $18.00 to $24.00 per hour, and is scheduled for approximately 20-25 hours per week with no weekend shifts. Job Requirements
- high school diploma or equivalent
- prior experience in medical or behavioral health administrative roles
- proficiency with electronic health record systems
- excellent communication and organizational skills
- ability to handle sensitive information confidentially
- capability to multitask efficiently in a dynamic environment
- professionalism in client interactions
- strong computer and technology skills
- availability for part-time hours (20-25 hours per week)
- no weekend availability required
Job Qualifications
- prior experience in a medical office or behavioral health setting preferred
- strong interpersonal, organizational, and multitasking skills
- familiarity with EHR systems and Microsoft software (Teams and Outlook)
- high level of professionalism, confidentiality, and attention to detail
- comfortable with technology, email, scanning, and file management
- ability to stay calm and centered in a fast-paced, client-facing role
Job Duties
- greet and check in clients with professionalism and compassion
- answer phones, triage messages, and manage voicemail and appointment requests
- assist with appointment scheduling and calendar management across clinical programs
