This position, Front Desk/Universal Agent Associate at the Sports Illustrated Resort in Chicago, embodies hospitality excellence by being the first point of contact for guests and ensuring a smooth, welcoming experience. This role is full-time and offers an hourly wage of $25.00 - $26.00 plus commissions and bonuses, making it not only a rewarding job in terms of career growth but also financially. The Universal Agent Ambassador holds a critical position in enhancing guest satisfaction by greeting guests, managing the flow of lobby traffic, and providing general concierge services. This role also offers backup support to Universal Agents by assisting with guest registration and handling PBX responsibilities.

The Front Desk/Universal Agent Associate plays a pivotal part in maintaining the high standards of customer service that Travel + Leisure Co. is known for. It requires multitasking skills as the Ambassador will complete check-out procedures, manage billing, collect payments, maintain cash reports, and handle guest issues promptly through standardized systems such as WYNSOS. The associate will maintain a professional and courteous demeanor, ensuring every guest feels valued and their concerns are addressed effectively.

Furthermore, the role demands excellent communication skills to manage telephone and PBX calls courteously and to convey guest requests and complaints efficiently to the appropriate departments. The Universal Agent Ambassador will provide guests with concierge services, including information about local attractions, dining, and entertainment options, and will assist with reservation management. This contribution helps enrich guests’ overall vacation experience.

In addition, this position involves registering guests in accordance with standard operating procedures, issuing room keys, and facilitating an introduction to the Wyndham Vacation Ownership presentation with the aim of engaging guests in promotional offerings. Attention to detail is key, as the Ambassador will prepare arrival paperwork, welcome gifts, and communicate arrival information to ensure smooth check-in processes.

Job Duties

  • Greet guests, be a first point of contact for all lobby traffic and maintain lobby flow to reduce wait times
  • Complete check-out procedures, compute bills, collect payment and make changes for guests during their stay following standard operating procedures
  • Enter guest issues into WYNSOS program and follow up with guest to ensure satisfaction
  • Complete checklist functions including bucket check, cash report, cash bank procedures, and petty cash procedures
  • Clean and restock front desk area
  • Stock amenities and assign units as necessary
  • Print emergency reports and update team on tour schedule changes
  • Answer telephones and PBX, direct calls using proper etiquette
  • Receive guest requests and complaints, ensure appropriate actions are taken
  • Communicate with other departments to resolve guest requests or complaints
  • Distribute guest and staff mail and messages
  • Balance cash receipts, perform bucket checks
  • Deliver general concierge services including providing information on local hot spots and activities
  • Make, confirm, and cancel guest reservations
  • Register guests and issue room keys per SOP
  • Transition guests toward participation in Wyndham Vacation Ownership presentation
  • Pre-screen guests to meet qualification standards for sales presentation
  • Manifest families scheduled to tour and report to administrative team
  • Prepare paperwork and arrival information for guests
  • Prepare and distribute welcome gifts upon check-in
  • Pre-call arriving guests to introduce the property and set expectations for arrival and check-in process
