Job Description

The position of Front Desk Support Staff (Office Specialist 2) at the Oregon Department of Human Services offers a full-time, permanent role focused on delivering front-line administrative support within a fast-paced office environment. This role is vital to the overall functioning of the department by managing a broad range of clerical duties that include client interaction, information dissemination, coordination of meeting spaces, and logistical support for communication devices. The salary range for this position is $3,515 to $4,738 per month, with eligibility for cost of living adjustments and annual salary increases until the top of the salary scale is reached. As a Front Desk Support Staff member, you will serve as a critical point of contact for clients, staff, and external stakeholders, providing accurate and program-specific information via multiple channels including in-person, telephone, and email. Responsibilities also include maintaining the internal administrative desk manual and procedures to ensure operational clarity and efficiency. You will coordinate the scheduling and reservation of conference and meeting rooms to facilitate smooth department activities and prepare funding requests supporting case worker programs. Furthermore, you will be tasked with coordinating the ordering and upgrading of mobile devices to sustain effective communication among staff.
This role requires strong organizational skills, the ability to manage competing priorities, and the capacity to work with a diverse population, including individuals who may be experiencing trauma or emotional distress. Candidates should be comfortable working in an office setting characterized by cubicles and a high-volume, sometimes noisy environment. The position may involve flexible working hours including evenings or weekends and occasional overtime, requiring adaptability and a good attendance record. There is a necessity for good communication skills, conflict resolution, and the capability to handle stressful situations with sound judgment to ensure safety and service quality.
The Oregon Department of Human Services does not sponsor visas and requires candidates to complete employment eligibility verification through the US Department of Homeland Security's I-9 form and E-Verify system. A criminal background and fingerprint check through the FBI Criminal Justice Information Services (CJIS) is mandatory for finalists. Job Requirements
- Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents
- Or an associate degree in any field
- Or an equivalent combination of education and experience
- Experience organizing, prioritizing, and completing work accurately and consistently while maintaining attention to detail in a fast-paced or high-volume environment
- Experience explaining rules, regulations and procedures for a program or service
- Strong time management
- Experience with computers includes processing, entering and verifying detailed data
- Creative, ambitious, intuitive, objective, thorough
- Experience communicating with and resolving conflicts or disputes with clients or customers
- Experience working with a diverse population
- Must possess a valid driver's license and acceptable driving record to use state vehicles
