The role of Front Office Manager is a pivotal position within our hotel. This full-time position focuses on overseeing and managing all front office activities including guest services, staff management, and operational efficiency at the front desk. The Front Office Manager will be entrusted with ensuring proper staffing levels by recruiting, interviewing, hiring, supervising, training, and scheduling the front office team comprising front desk agents, supervisors, guest service aides/bell staff, concierge staff, and PBX operators. Having a comprehensive understanding of each role within the front office team is crucial, as the manager must be ready to perform any of these duties if the need arises. The ideal candidate will be proficient in operating the MICROS system for managing daily transactions accurately and efficiently, including transactions that occur less frequently. Monitoring discrepancy reports and resolving any issues in a timely manner is an essential aspect of this role.
Communication plays a vital role in this job, as the Front Office Manager will liaise closely with Housekeeping and Engineering departments to ensure guest rooms are prepared to standard, maintenance requests are handled promptly, and any guest concerns are addressed proactively. This manager will also be the face of the hotel at the front desk, greeting and interacting cordially with guests, managing check-ins and check-outs professionally and promptly, addressing guests' inquiries, and providing assistance to enhance their stay. The ability to remain calm and efficient under pressure and the capacity to work varying schedules including nights, weekends, and holidays is necessary. Job Duties
- Ensure proper staffing levels of front office associates including interviewing hiring supervising training and scheduling front desk agents front office supervisors guest service aides bell staff concierge staff and PBX operators
- Have complete understanding of front office staff's roles and duties and be able to perform duties at any given time
- Accurately manage and operate the MICROS system at the front office including all daily transactions and those which are not performed often
- Accurately check AM and PM discrepancy reports
- Communicate with Housekeeping and Engineering Departments regarding guest rooms requests and maintenance requests needs
- Efficiently process guest requests to the appropriate departments
- Greet and communicate cordially with guests promptly and professionally checking them in and out of the hotel answering questions and assisting guests with needs
