Job Description

This position is with a healthcare provider specializing in Urgent Care services, specifically assigned to the Urgent Care department. The job operates Monday through Friday from 4:00 PM to 7:00 PM, serving patients in a fast-paced clinical environment. The role of the Front Office Specialist is crucial in the daily functioning of the Urgent Care clinic. The primary responsibility is to provide outstanding customer service, ensuring that patients arrive for their appointments on time and that their interactions with the clinic are as pleasant and efficient as possible. This position also supports the financial viability of the clinic by collecting appropriate co-insurance and co-payments at the point of service. The Front Office Specialist is the first point of contact for patients, entrusted with creating a welcoming environment in person or over the phone. This includes managing patient schedules accurately to optimize the clinic's appointments, handling patient check-ins, and verifying insurance information.

In addition to customer service, this role involves careful chart management, including collecting vital patient information such as identification, insurance details, medical history, and consent forms. The specialist must maintain meticulous records and coordinate schedules according to the physicians’ clinical instructions, especially for post-operative patients. Financial responsibilities include managing deposits and adhering to all money handling procedures to ensure accurate collection and accounting. This detailed administrative support enables clinicians to focus on patient care while ensuring that the clinic’s operations are efficient and compliant with healthcare regulations.

The position requires a high level of adaptability and the ability to handle multiple tasks simultaneously in a fast-paced and sometimes challenging environment. Success in this role depends on excellent communication skills, both with patients and professional colleagues, including therapists and referring offices. Job Requirements

  • high school diploma or equivalent
  • knowledge of Medicare and Medicaid regulations
  • experience with billing, charges and collections
  • ability to multi-task in a fast paced work environment
  • proficiency with Microsoft Office software
  • front desk experience in healthcare preferred
  • strong customer service skills
  • adaptability to new environments

Job Qualifications

  • high school diploma or equivalent
  • working knowledge of Medicare and Medicaid regulations, billing, charges and collections
  • proficiency with Microsoft Office software including Word, Excel, and Outlook
  • front desk experience in a healthcare setting preferred
  • demonstrated high level of customer service and interpersonal communication skills
  • ability to quickly adapt to new work environments and personnel

Job Duties

  • create a culture of exceptional customer service by continually exceeding our patients expectations
  • properly maintain and manage daily schedules of clinics
  • ensure that patients are scheduled properly and therapists are blocked off correctly
  • manage sudden available spots and lack of open appointments
  • ensure scripts are scheduled in full
  • schedule post operative patients according to physicians’ clinical schedule and special requests
  • ensure proper information is obtained from the patient including identification, patient history, insurance information, insurance card, missed appointment policy, medicare cap information, consent to treat, workers compensation information
  • greet patients as the first friendly face or voice
  • collect co-pays and co-insurances from patients
  • create a ledger for the billing company to ensure proper amounts are posted
  • create a deposit for the bank following money handling procedures
  • track the numbers of referring physicians and categorize new or existing referrals
  • manage patient account tasks including medical record requests, charge corrections, insurance information logging, and handling simple patient billing concerns
