Job Description

The Front Desk Specialist plays a crucial role within this established network. This full-time, onsite position operates Monday through Thursday from 10:30 AM to 7:00 PM EST, and Fridays from 8:00 AM to 4:30 PM EST. The Front Desk Specialist serves as the first point of contact for patients visiting the clinic and ensures that their check-in, registration, and checkout processes are managed efficiently and warmly. The role requires a blend of administrative, interpersonal, and multitasking skills to maximize daily patient and clinical services. Meticulous attention to detail is essential, especially when updating patient demographic information, verifying insurance eligibility and benefits, handling referral documentation, and managing copay collections.

This position also involves patient triage and scheduling, ensuring that patients receive timely appointments tailored to their specific clinical needs. The Front Desk Specialist supports the flow of operations by directing visitors and vendors to appropriate contacts, always maintaining professionalism and courtesy. Job Requirements

  • High school graduate or equivalent
  • Experience in administrative or medical office settings preferred
  • Proficiency with computer systems and Microsoft Office software
  • Ability to handle confidential information with discretion
  • Understanding of HIPAA regulations and patient privacy
  • Strong communication and interpersonal skills
  • Ability to multitask and manage time effectively
  • Bilingual in Spanish or Portuguese preferred

Job Qualifications

  • High school graduate or equivalent
  • Any combination of education, training, and experience that demonstrates the ability to perform the duties of the position
  • Experience with Microsoft Office including Word, Excel, and PowerPoint
  • Discretion to work with confidential information
  • Knowledge of HIPAA regulations
  • Pertinent job-related experience and medical terminology
  • Bilingual Spanish or Portuguese a plus

Job Duties

  • Greet patients in a prompt, courteous and helpful manner
  • Accurately and expeditiously register and update patients' demographic information
  • Verify insurance eligibility and benefits and document appropriately
  • Obtain and document referrals
  • Ability to triage patients and appropriately schedule them
  • Notify patients of and collect on copays and past due balances
  • Check out procedures including scheduling future appointments and outside testing
  • Other duties as assigned
