Job Description

This job opening is for a full-time Front Office Supervisor position within a well-established hotel. The hotel prides itself on delivering a high standard of guest service, ensuring that every visitor experiences exemplary hospitality from the moment they arrive until they depart. The Front Office Supervisor is a leadership role essential to maintaining the quality of guest services and overseeing the front desk team to ensure daily operations run seamlessly.

The Front Office Supervisor is primarily responsible for managing the guest registration process, facilitating check-outs and payments, and supervising the front office team. This role demands a strong ability to maintain excellent communication with both guests and staff while ensuring that all company guidelines and hospitality standards are followed. The supervisor evaluates staff performance, handles guest and team member concerns professionally, and ensures that breaks and duties are scheduled effectively to optimize front office operations. The position also requires generating and organizing various reports related to occupancy, agent upsells, lost phone calls, and rebates to support management with operational insights.

In addition to supervising the team, the Front Office Supervisor personally assists guests with inquiries either in-person or by telephone. This includes managing telephone calls, faxes, mail, packages, directions, and resolving any issues related to guest rooms or accounts. The role requires proficiency with Microsoft Office applications including Project, Word, Excel, PowerPoint, Publisher, and Outlook to handle administrative tasks and maintain accurate, up-to-date records. Strong clerical, analytical, and decision-making skills are indispensable for this role.

The ideal candidate must be flexible to work various shifts, including nights, weekends, and holidays, to meet the operational needs of the hotel. Previous supervisory experience is preferred, along with at least 1-2 years of experience in hotel operations or a related field. Candidates must be at least 21 years old and possess or be willing to obtain an Alcohol Awareness Card as part of the required licensing standards.

The physical demands include prolonged periods of sitting and standing, occasional walking and reaching, pushing or pulling light weights, and continuous use of hands and vision abilities for tasks such as reading and computer work. The working environment is typically indoors with moderate noise levels and regular interaction with other team members and guests. Job Requirements

  • Minimum 1-2 years of experience in hotel operation preferred
  • previous supervisory experience preferred

  • must be a minimum of 21 years of age

Job Qualifications

  • Minimum 1-2 years of experience in hotel operation preferred or any combination of education, training, or experience listed that provides the required knowledge, skills, and abilities

Job Duties

  • Register guests by inputting information into the computer and assigning them rooms
  • settle and check out guest's accounts by inputting method of payment into computer and releasing room
  • maintain excellent guest service and team member relations through effective communication and by following company guidelines
  • supervise staff to ensure job duties/breaks promote the overall operation of the Front Office
  • handle all front office team members and guest concerns in a professional manner
  • evaluate staff performance
  • answer calls and process requests from guests
  • make follow-up calls to maintain proper communications with guests, departmental staff and management staff
  • assist guests with faxes, telephone calls, mail, packages, directions and all other basic inquiries
  • assist guests with questions or problems they may have regarding their room or account in person, or on the telephone
  • prepare and organize reports for tracking rebates, lost phone calls, agent up-sells, night occupancy reports, etc.
  • post and balance room charges to guest's accounts to keep these accounts current and correct at all times
  • research and correct disputed room charges by use of various reports and master accounts to correct any improper postings to guest's accounts
  • monitor staff behavior, direct breaks and direct job functions to expedite check-in/out and baggage handling procedures
  • direct staff in proper job functions and proper guest interaction
  • any other duties as assigned within the scope of this position
