The Front Desk Receptionist/Coordinator position at NNCC is a vital role within the Administration Department, reporting directly to Katherine Robles. This full-time, hourly, non-exempt role serves as the initial point of contact for clients, visitors, and community partners, embodying the organization's values of professionalism and cultural respect. The individual in this role is tasked with managing the front office's daily operations, including greeting guests, answering and routing phone calls, managing appointment schedules, and providing accurate information about NNCC's programs and services.

This position requires a person committed to confidentiality, organization, and efficiency, ensuring the front desk functions smoothly while upholding the agency's mission to provide equitable and culturally responsive services. The receptionist/coordinator will also be responsible for administrative tasks such as maintaining client records, data entry, managing mail, and supporting office operations and community outreach activities. By fostering a welcoming environment, the role supports NNCC’s mission to empower and engage the community actively. This position also occasionally supports special projects and cross-functional administrative needs, emphasizing teamwork and adaptability. Candidates should be bilingual in English and Spanish, possess strong communication and interpersonal skills, and demonstrate professionalism and reliability in a fast-paced office setting.

Job Requirements

  • High school diploma or equivalent
  • bilingual in English and Spanish (spoken required
  • written preferred)
  • 1+ year of experience in receptionist, administrative, or customer service role preferred
  • proficiency in Microsoft Office and email systems
  • ability to multitask and manage time effectively

Job Qualifications

  • High school diploma or equivalent

  • 1+ year of receptionist, administrative, or customer service experience preferred
  • proficiency in basic computer applications (Microsoft Office, email systems, data entry platforms)
  • strong communication and interpersonal skills
  • ability to multitask, prioritize, and remain composed in a fast-paced environment
  • demonstrated reliability, professionalism, and punctuality
  • experience working in a nonprofit, community-based, or human services environment preferred
  • familiarity with client intake systems or case management databases preferred
  • experience working with diverse populations preferred

Job Duties

  • Greet and assist clients, visitors, and vendors in a professional and culturally respectful manner
  • answer, screen, and route incoming phone calls
  • respond to general inquiries
  • schedule appointments and manage calendars for staff and program services
  • maintain visitor logs and ensure proper sign-in/out procedures
  • provide accurate information and referrals to programs and services
  • perform data entry and maintain client records in compliance with confidentiality standards
  • assist with administrative tasks including filing, copying, scanning, and correspondence
  • coordinate incoming/outgoing mail and maintain office supply inventory
  • support workshops, meetings, and community outreach activities as needed
  • maintain cleanliness and organization of reception and common areas
  • monitor office operations and communicate needs or concerns to appropriate staff
  • support special projects and cross-functional administrative needs
  • adhere to all organizational policies, including confidentiality, and data privacy
