This opportunity is for the Seattle Front Desk Administrative Assistant, an in-office role based at Stantec's Seattle office. The position entails working approximately 24 hours per week from 8:00 am to 5:00 pm Tuesdays through Thursdays. The role is crucial as the first point of contact for visitors, clients, and internal stakeholders, upholding Stantec’s high standards of professional and client service. The Front Desk Administrative Assistant acts as the face of the company, ensuring smooth communication flow and providing timely, accurate, and professional administrative support to the office and its staff.
Responsibilities include maintaining an organized, clean, and welcoming office environment across areas such as the lobby, kitchen or cafe, conference rooms, and storage spaces. The assistant will ensure workspaces are welcoming and properly prepared for new hires and visitors, manage phone, email, and visitor inquiries professionally by directing them as appropriate. Efficient scheduling, tracking, and coordination of meetings and the use of conference rooms are essential duties, alongside maintaining inventory for office and kitchen supplies. The role also involves managing incoming and outgoing mail and deliveries reliably, assisting with organizing special events such as lunch and learn seminars, and supporting travel arrangements and expense reporting upon direction.
Moreover, the Front Desk Administrative Assistant leads planning and logistics for internal and external office events, supports office safety initiatives in partnership with the Office Safety Environment Coordinator (OSEC), and provides administrative assistance to staff as needed. This position may also include special projects aligned with firm objectives. Candidates will need strong multitasking abilities, excellent communication skills, a high level of organization, attention to detail, and a dependable, service-oriented attitude. Proficiency in Microsoft Office Suite—including Teams, Outlook, Word, Excel, and SharePoint—is required, as well as a positive, professional demeanor suitable for the role’s front-facing responsibilities. The ideal candidate is comfortable with technology and capable of working both independently and collaboratively.
Stantec values education and experience in administrative environments. A high school diploma is mandatory, with a preference for those holding a certification, associate degree, or actively pursuing further education in a related field. Typically, candidates will have at least one year of experience in professional office settings. This role operates within a typical office environment requiring extensive computer use and extended periods of sedentary work.

Job Requirements

Job Duties
