Job Requirements

  • High school diploma or equivalent
  • Must have open availability Monday through Sunday from 9:00 AM to 6:00 PM
  • Ability to communicate effectively in both English and Spanish
  • Ability to handle multiple phone lines
  • Ability to maintain organized patient records
  • Basic understanding of managed care plans
  • Strong interpersonal skills and customer service orientation
  • Ability to maintain a tidy and presentable reception area

Job Qualifications

  • Fluent in reading and speaking English and Spanish
  • Experience as a receptionist, front office representative or similar role preferred but not required
  • 0-2 years related experience or training preferred
  • Experience handling multiple phone lines preferred
  • Strong customer service skills
  • Strong organizational skills

Job Duties

  • Ensures high quality customer service while following all safety protocols
  • Ensures a smooth flow of customers through the store
  • Answers, screens, and forwards incoming phone calls in accordance with company protocol
  • Processes and understands managed care plans and obtains necessary insurance information
  • Provides customers with basic and accurate information
  • Schedules and confirms appointments, follow-up visits and classes
  • Files patient records daily and prepares files for upcoming appointments
  • Checks order status and notifies customers about order readiness or delays
  • Keeps reception area tidy and stocked with necessary materials
  • Receives, sorts, and distributes daily mail and deliveries
  • Maintains inventory of office supplies
  • Participates in mandatory communication meetings regularly
