Job Description
We are a dedicated mental health group practice committed to providing exceptional care and support to our clients. Our team is composed of professionals who are passionate about mental health and creating a welcoming, organized, and efficient office environment. As a reputable healthcare provider, we prioritize client confidentiality, adhering strictly to all HIPAA regulations, and strive to maintain a supportive atmosphere for both clients and staff. Our office operates Monday through Saturday with varying hours to accommodate the needs of our clients and therapists.
We are currently seeking a detail-oriented receptionist to join our team. This full-time, in-person position offers a starting pay of $14.00 per hour and presents an excellent opportunity for an individual who enjoys working in a dynamic environment where communication and administrative skills are essential. The receptionist will be the first point of contact for clients, responsible for handling all communication channels including phone calls, texts, and emails efficiently and professionally. In addition to managing client interactions, this role supports other receptionists and clinical staff through a variety of administrative tasks.
The ideal candidate will have strong and assertive communication skills, a customer service-oriented mindset, and the ability to multitask and prioritize in a busy office setting. Responsibilities include overseeing client check-ins and check-outs, scheduling appointments, maintaining office cleanliness, scanning and organizing documents, and updating spreadsheets. The role also involves handling billing tasks such as entering insurance payments and coordinating weekly bank deposits. The receptionist must be able to collaborate with therapists and other team members to ensure smooth daily operations, including managing shared office scheduling and maintaining the playroom and art/sandtray rooms.

Job Requirements
- Minimum of 1 year experience in an office setting
- Ability to provide assertive and professional communication

- Knowledge of Microsoft products and Google Suite

Job Duties
- Respond to all phone calls, texts, and emails from clients
- Oversee client check-in and check-out process
- Assist other receptionists and clinical staff with other daily tasks
- Coordinate with receptionist for daily and end-of-day tasks
- Update spreadsheets
- Maintain completion of entering insurance payments and updating claims spreadsheet, as necessary
- Scan and complete weekly deposits to the bank
- Schedule appointments, as necessary
- Scan intake documents into electronic health records system, as necessary
- Notify therapists of client cancellations and messages
- Assist therapists with client and office needs
- Keep client appointment times on schedule by notifying provider of client's arrival
- Schedule playroom and art/sandtray rooms
- Daily scheduling of office sharing for therapists
- Assist in clean up of playroom as necessary
- Collect daily copays from clients upon arrival
- Maintain office cleanliness
- Maintain a strict code of ethics regarding client confidentiality by adhering to all HIPAA regulations
- Open and sort daily mail
- Open/close office
- Send end of shift report daily to other receptionists and supervisors
- Perform other clerical duties such as photocopying, faxing, etc.
- Assist with other administrative tasks as needed
