This full-time Front Desk Receptionist / Medical Receptionist position offers an exciting opportunity for individuals who thrive in patient-facing roles and enjoy delivering outstanding customer service. The role is Monday through Friday from 8:00 AM to 5:00 PM, with occasional participation in after-hours patient or cosmetic events throughout the year. As a pivotal member of the front office team, the receptionist is responsible for shaping the overall patient experience by providing a warm, professional, and welcoming presence. The position supports both the medical dermatology and cosmetic/aesthetic departments, which requires professionalism, excellent interpersonal skills, and attention to detail.
The front desk receptionist will manage patient check-in and check-out, schedule and confirm appointments, handle patient data within the electronic medical records (EMR) system, and assist with financial transactions including copays and cosmetic payments. This role requires strong phone etiquette, the ability to address billing questions, and skill in managing patient flow efficiently. Additionally, the receptionist will contribute to administrative functions such as organizing the front desk, monitoring inventory, and supporting cosmetic retail. The ideal candidate will be comfortable multitasking in a fast-paced medical office environment, possess a polished speaking voice, and maintain strict adherence to HIPAA privacy standards.

Job Requirements
- High school diploma or GED
- Minimum 2 years of customer service experience
- Ability to handle patient check-in and check-out processes
- Strong phone etiquette and communication skills
- Comfortable discussing and collecting payments from patients
- Knowledge of EMR systems and medical office software
- Ability to multitask and remain organized in a fast-paced environment
- Working knowledge of HIPAA/privacy standards
- Ability to use office equipment such as multi-line phones and scanners
- Physical ability to sit for prolonged periods and perform tasks requiring manual dexterity
- Willingness to assist with occasional after-hours events
- Flexibility to cover nearby office locations
- Fluency in English
Job Qualifications
- High school diploma or GED required
- At least 2 years of recent customer service experience
- 1-3 years of recent experience in a medical receptionist, healthcare front desk, patient service representative, or medical office administrative role preferred
- Prior experience in dermatology, plastic surgery, aesthetics, cosmetic medicine, or another specialty practice preferred
- Experience collecting payments, copays, or discussing balances preferred
- Experience with scheduling, insurance verification, referrals, or EMR systems preferred
- Outstanding customer service and interpersonal communication skills
- Excellent phone presence and professional speaking voice
- Comfortable discussing payments and collecting money from patients
- Strong multitasking and organizational skills
- Detail-oriented with excellent accuracy
- Ability to remain composed and professional in a fast-paced environment
- Working knowledge of HIPAA/privacy standards
- Experience using EMR/practice management systems
- Proficiency with multi-line phone systems, computers, scanners, copiers, and other office equipment
- Ability to work collaboratively as part of a team
- Fluent in English
- Flexibility to support nearby clinic locations as needed
Job Duties
- Greet and check in patients in a warm, professional, and welcoming manner
- Manage patient check-in and check-out processes efficiently and accurately
- Answer incoming calls with exceptional phone etiquette and a polished speaking voice
- Schedule, reschedule, and confirm appointments
- Coordinate referrals and assist with scheduling follow-up care
- Enter and update patient demographic, insurance, and contact information in the EMR system
- Verify patient information, required forms, signatures, and chart accuracy prior to appointments
- Collect copays, balances, cosmetic payments, and other patient financial responsibilities
- Balance daily payment totals and complete end-of-day reconciliation/reporting
- Address patient billing questions or route concerns appropriately
- Track patient flow in the reception area and communicate delays or updates as needed
- Process incoming faxes, phone messages, correspondence, and interdepartmental communications
- Maintain front desk organization and support inventory monitoring/supply ordering
- Assist with product inventory updates and cosmetic retail support as needed
- Provide coverage for nearby offices as needed
- Support occasional after-hours practice events
- Assist team members and leadership with additional administrative duties as needed
