The role of Front Desk Receptionist & Local Communications Support based at the Green Bay campus plays a critical part in embodying Barry-Wehmiller’s welcoming culture. This position acts as the first point of contact for all visitors, customers, and team members, thereby setting the tone for a professional and hospitable environment. Beyond traditional receptionist duties, this multifaceted role incorporates responsibilities related to local site communications, supporting internal messaging, coordinating events, and providing administrative assistance. This role requires a candidate with exceptional interpersonal skills, meticulous attention to detail, and the ability to juggle simultaneous priorities in a dynamic setting.

The Front Desk Receptionist’s key responsibilities include greeting and directing visitors and customers, answering and routing phone inquiries efficiently, and maintaining a polished and welcoming reception and common area. They also manage meeting room logistics which include arranging setups, coordinating catering, and preparing necessary materials and badges. Supporting customer visits and leadership meetings by handling logistical and scheduling tasks is also a vital part of the job.

In terms of local communications support, this position assists in producing, coordinating, and distributing site-level communications including announcements, signage, and updates. The role supports local leadership and administrative teams in maintaining alignment with broader company messaging and helps manage both digital and physical communication boards for the Green Bay site. Coordination of communications related to site events, celebrations, and milestones also falls under this role’s scope, ensuring consistent and clear messaging throughout the facility.

Administrative support tasks are similarly important, involving assistance with event planning for onsite and offsite meetings and celebrations, managing office supplies, badges, mail distribution, shipments, and general reception resources. The ability to perform miscellaneous duties that enhance site operations and contribute to a positive team member experience is essential.

This position requires a high school diploma or equivalent and a minimum of two years’ experience in roles such as receptionist, customer service, administrative support, or concierge services. Experience in communications, event coordination, or administrative services is preferred but not mandatory. It is an onsite role requiring regular interaction with a variety of stakeholders including visitors, leaders, and team members. The role may occasionally demand flexibility in scheduling to accommodate meetings or events.

Job Duties

  • Greet, welcome, and direct visitors, customers, and team members in a professional and hospitable manner
  • Serve as the primary point of contact for all incoming calls and route inquiries appropriately
  • Notify internal contacts of visitor arrivals and assist with on-site guest coordination
  • Maintain the reception area, common areas, and conference spaces to ensure a professional and welcoming environment
  • Coordinate meeting room logistics including room setup, catering, badges, and materials
  • Support customer visits, leadership meetings, and site events, including logistics and scheduling support
  • Assist with creation, coordination, and distribution of site-level communications such as announcements, signage, posters, and internal updates
  • Support local leadership and Administrative Services with internal communication needs aligned to broader Converting and Barry-Wehmiller messaging
  • Help maintain digital and physical communication boards for the Green Bay site
  • Coordinate communication related to site events, celebrations, and milestones
  • Provide administrative support to the Administrative Services team as needed
  • Assist with event planning for on-site and off-site meetings, celebrations, and employee engagement initiatives
  • Maintain office supplies, badges, and reception-related resources
  • Support mail distribution, shipments, and visitor materials
  • Perform other duties as assigned in support of site operations and team member experience
