Job Requirements

  • High school diploma or equivalent
  • Proven experience as a receptionist, administrative assistant, or customer service role in a spa, salon, or medical office
  • Excellent communication skills
  • Proficiency in scheduling software and Microsoft Office Suite
  • Ability to organize and multitask
  • Professional appearance and demeanor
  • Availability to work Saturdays
  • Ability to work part-time 3-4 days a week
  • Positive and enthusiastic attitude

Job Qualifications

  • High school diploma or equivalent
  • Associate's degree or higher preferred
  • Proven experience as a receptionist, administrative assistant, or in a customer service role, preferably in a spa, salon, or medical office setting
  • Excellent verbal and written communication skills
  • Proficiency in scheduling software and Microsoft Office Suite
  • Experience with Zenoti is a plus
  • Strong organizational and multitasking abilities
  • Ability to work independently and as part of a team
  • Professional appearance and demeanor
  • Knowledge of med spa services and products is a plus
  • Bilingual Spanish speaking is a plus

Job Duties

  • Greet clients warmly upon arrival and manage their check-in and check-out process
  • Schedule and confirm appointments using the spa's booking system
  • Answer phone calls and respond to email inquiries in a timely and professional manner
  • Educate clients on available services, products, and promotions
  • Handle client concerns and complaints with empathy and efficiency, escalating to management when necessary
  • Maintain client records and ensure accuracy of information
  • Manage the reception area, ensuring it is clean, tidy, and well-stocked with necessary forms and brochures
  • Process payments and manage cash drawer accurately
  • Maintain inventory of retail products and office supplies, placing orders as needed
  • Assist with opening and closing procedures, including preparing daily reports
  • Perform light cleaning duties in the reception and common areas
  • Handle mail, deliveries, and other general office tasks
  • Promote and sell retail products and membership packages
  • Inform clients about current specials and events
  • Cross-promote services and encourage rebooking
  • Communicate effectively with estheticians, nurses, and other staff members to ensure smooth client flow
  • Attend staff meetings and training sessions as required
  • Maintain a positive and collaborative working environment
