Job Requirements
- High school diploma or equivalent
- Proven experience as a receptionist, administrative assistant, or customer service role in a spa, salon, or medical office
- Excellent communication skills
- Proficiency in scheduling software and Microsoft Office Suite
- Ability to organize and multitask
- Professional appearance and demeanor
- Availability to work Saturdays
- Ability to work part-time 3-4 days a week
- Positive and enthusiastic attitude
Job Qualifications
- High school diploma or equivalent
- Associate's degree or higher preferred
- Proven experience as a receptionist, administrative assistant, or in a customer service role, preferably in a spa, salon, or medical office setting
- Excellent verbal and written communication skills
- Proficiency in scheduling software and Microsoft Office Suite
- Experience with Zenoti is a plus
- Strong organizational and multitasking abilities
- Ability to work independently and as part of a team
- Professional appearance and demeanor
- Knowledge of med spa services and products is a plus
- Bilingual Spanish speaking is a plus
Job Duties
- Greet clients warmly upon arrival and manage their check-in and check-out process
- Schedule and confirm appointments using the spa's booking system
- Answer phone calls and respond to email inquiries in a timely and professional manner
- Educate clients on available services, products, and promotions
- Handle client concerns and complaints with empathy and efficiency, escalating to management when necessary
- Maintain client records and ensure accuracy of information
- Manage the reception area, ensuring it is clean, tidy, and well-stocked with necessary forms and brochures
- Process payments and manage cash drawer accurately
- Maintain inventory of retail products and office supplies, placing orders as needed
- Assist with opening and closing procedures, including preparing daily reports
- Perform light cleaning duties in the reception and common areas
- Handle mail, deliveries, and other general office tasks
- Promote and sell retail products and membership packages
- Inform clients about current specials and events
- Cross-promote services and encourage rebooking
- Communicate effectively with estheticians, nurses, and other staff members to ensure smooth client flow
- Attend staff meetings and training sessions as required
- Maintain a positive and collaborative working environment
