The Front Desk Receptionist position at St. Martin's Episcopal School is a part-time, 10-month role designed to serve as the first point of contact for visitors, families, students, faculty, and staff. This position is crucial in creating a positive and professional first impression and plays an integral role in the day-to-day operations of the school's front office. Scheduled primarily on Thursdays and Fridays from 7:15 a.m. to 3:45 p.m., the Front Desk Receptionist works collaboratively with a counterpart who covers the earlier part of the week, ensuring seamless front desk operations throughout the academic calendar. The role demands exceptional customer service skills, strong organizational abilities, discretion, and the capacity to juggle multiple priorities in a dynamic educational environment. Primary responsibilities include managing visitor check-in and check-out in line with safety protocols, handling incoming telephone calls, sorting and distributing mail, supporting student sign-in procedures, and providing administrative assistance for school events and general office functions. The Front Desk Receptionist also acts as a communication hub, directing inquiries appropriately and supporting intra-departmental coordination to uphold the school’s mission and values. This role requires someone who is warm, professional, detail-oriented, and adaptable to the fast-paced, service-oriented nature of a busy school front office. Additionally, physical requirements include the ability to sit, stand, walk the campus, and occasionally lift items such as packages up to 25 pounds, with accommodations available as needed. Job Qualifications

Job Duties

  • Serve as the primary receptionist for the school on assigned workdays greeting visitors families students and vendors in a warm professional and helpful manner
  • Manage visitor check-in and check-out procedures in accordance with school safety and security protocols
  • Answer and direct incoming telephone calls and general inquiries
  • Provide assistance and information to visitors parents faculty staff and community members
  • Monitor the reception area to ensure a welcoming organized and secure environment
  • Collaborate with the school’s other front desk receptionist to maintain consistent procedures communication and front office operations
  • Receive sort and distribute incoming mail packages and deliveries
  • Assist with outgoing mail and shipping requests
  • Maintain shared calendars contact lists employee and visitor logs and reception resources as assigned
  • Support school-wide communications by directing inquiries to the appropriate department or staff member
  • Assist with data entry document preparation filing and general administrative tasks
  • Maintain accurate records and front office documentation
  • Assist with special projects as assigned
  • Assist students arriving late or leaving early in accordance with established procedures
  • Support parent and family inquiries while ensuring adherence to school policies and procedures
  • Coordinate communication between families and school personnel when appropriate
  • Assist with student sign-in sign-out processes and visitor management systems
  • Provide administrative support for school events meetings and special programs as assigned
  • Support office operations by maintaining inventory of reception and office supplies
  • Coordinate service requests and communicate facility-related concerns to the appropriate personnel
  • Work closely with the executive assistant to the head of school business office admissions advancement and other departments to ensure efficient operations and excellent customer service
  • Coordinate with the school’s other front desk receptionist to ensure seamless coverage and continuity of service throughout the week
  • Maintain positive and professional relationships with students families faculty staff and visitors
  • Support a culture of hospitality professionalism and community engagement throughout the school
