Sea Mar Community Health Centers is a well-established Federally Qualified Health Center (FQHC) founded in 1978. The role of the Receptionist at Sea Mar Community Health Centers is a vital front-line position that serves as a liaison between the public and the facility. This role is instrumental in fostering a welcoming, efficient, and professional environment that aligns with the organization’s mission of client-centered, culturally-aware care. As the first point of contact, the Receptionist is responsible for greeting patients, scheduling appointments, managing communications, and supporting the smooth operation of front desk activities. Working as a Receptionist at Sea Mar means becoming part of a team that advocates for social justice and prioritizes client needs. Responsibilities also include managing medical and dental records by scanning and filing documents, collecting patient payments maintaining a 100% collection rate, assisting patients with registration forms, accurately updating demographic information, and providing information about the health center’s various services.

The Receptionist is expected to exhibit exceptional organizational skills, maintain professionalism in all communications, and show cultural sensitivity when interacting with clients. This role demands a high level of detail orientation and the ability to handle multiple tasks simultaneously in a moderate to high noise environment. A key component of the role involves adhering to strict productivity and quality standards, such as answering calls within three rings, greeting patients by their last names, and ensuring no phone is left on hold for more than two minutes without follow-up.

Job Requirements

  • High school diploma or general education degree (GED) required
  • Previous experience in a medical and/or dental setting preferred
  • Pass annual tuberculosis (TB) test
  • Be able to type and frequently stand, sit, turn, and reach
  • Ability to perform repetitive motions
  • Must be able to occasionally lift and/or move up to 50 pounds
  • Have vision abilities including close, distance, color, peripheral vision, depth perception, and ability to adjust focus
  • Must be vaccinated for COVID-19 and flu per organizational policy
  • Be able to work in a moderate to high noise environment
  • Be able to share workspace with other employees
  • Be willing and able to follow instructions and perform other duties as assigned by supervisor

Job Qualifications

  • Perform each essential duty satisfactorily
  • Pass the pre-hire competency test
  • Pass the 90-day probationary period competency test
  • Be able to troubleshoot office equipment
  • Have good organizational skills
  • Be detail oriented
  • Be able to answer a multi-line telephone system in a professional manner
  • Possess a typing speed of 35 words per minute
  • Word processing skills are desirable
  • Have good written and verbal communication skills
  • Vast knowledge of medical records systems is desirable
  • Bilingual in English/Spanish preferred
  • Ability to add, subtract, multiply, divide
  • Be able to effectively utilize a 10-key adding machine

Job Duties

  • Maintain a clean and healthy work space environment and patient area
  • Responsible for all daily front desk activities to ensure completion
  • Answer the telephone and assist callers
  • Schedule and confirm patient appointments according to the Front Desk Manual
  • Assist the medical/dental records department by scanning documents, queuing/indexing, sorting, filing, and pulling charts as needed
  • Distribute and screen all incoming and outgoing mail
  • Maintain a 100% collection rate by collecting patient’s account payments and balances
  • Assist patients in filling out patient registration forms
  • Assist all patients with accessing health care services
  • Inform patients about other health centers and community services
  • Accurately enter patient demographic information into the practice management system
  • Demonstrate knowledge and skills necessary to provide care appropriate to the age of the patients served
  • Work as a team to complete tasks and assist others as needed
  • Acknowledge each patient’s arrival with a smile and offer assistance
  • Answer each call within 3 rings using a professional and pleasant greeting
  • Ensure no call is placed on hold for longer than 2 minutes without checking back
  • Assist the Front Office Supervisor in maintaining provider productivity standards as set by Sea Mar
