Job Description

The role of Front Desk Receptionist at Equity Smart Home Loans is pivotal in maintaining the smooth functioning of the corporate office. This position requires a highly organized individual with exceptional administrative skills and the ability to manage multiple tasks simultaneously. The Front Desk Receptionist will serve as the first point of contact for clients and visitors, representing Equity Smart with professionalism and friendliness. This role includes supporting the Office Manager in various administrative capacities, managing phone communications, scheduling meetings, handling mail and document distribution, and ensuring all office supplies and logistical needs are met. Exceptional attention to detail and discretion in handling sensitive information are critical to success in this role. The position may also involve occasional travel to branch offices or mortgage-related events, requiring flexibility and a proactive approach. An important aspect of the job includes updating lender information, coordinating broker packages, and assisting with the management of NMLS and Comergence data systems. Evening work and overtime may be required at times, highlighting the need for a committed and adaptive team player. Overall, this role is essential in ensuring a professional and efficient office environment that supports the broader goals of Equity Smart Home Loans.

Job Requirements

  • Minimum 2 years’ experience in administrative assistant and/or office support role preferably in a busy office
  • Bachelor’s degree or equivalent work experience
  • Outstanding grammar, spelling and punctuation a must
  • Clear, articulate verbal communication skills with a professional and courteous telephone manner
  • Knowledge of common business office procedures and terminology
  • Ability to professionally interact with executive management and leadership
  • Ability to multi-task and handle constant interruptions and shifting priorities
  • Advanced Microsoft Office proficiency including Outlook, Word, Excel, PowerPoint
  • Strict attention to detail with a high level of accuracy
  • Ability to maintain confidentiality

Job Qualifications

  • Minimum 2 years’ experience in administrative or office support roles
  • Bachelor’s degree or equivalent work experience
  • Proficiency in Microsoft Office suite including Outlook, Word, Excel, PowerPoint
  • Strong verbal and written communication skills
  • Ability to multitask effectively in a dynamic office environment
  • Familiarity with business office procedures and terminology
  • High level of accuracy and attention to detail
  • Professionalism in interacting with executive leadership
  • Ability to maintain confidentiality

Job Duties

  • Represent EquitySmart well by providing exceptional customer service and effective communication both in writing and orally to both internal and external stakeholders
  • Assist the Office Manager in all aspects of maintaining an organized office for the corporate team
  • Meet and greet clients as they come into the office
  • Assist with all office duties including ordering lunch, ordering office supplies, answering phones, scheduling meetings, filing, assisting with travel, expense reports, document distribution
  • Receive and distribute mail to team members
  • Handle email requests and queries professionally and appropriately
  • Position may require travel and commuting to different locations such as Branch Offices and mortgage related events
  • Assist with all other support duties as assigned
  • Some overtime and evening work required
  • Update Equity Smart’s “Lender List” with accurate contact information
  • Coordinate and complete broker packages for lenders
  • Assist in managing Equity Smart’s NMLS and Comergence information
