The role involves answering the main agency phone line through MSTeams with professionalism and patience, ensuring callers are directed to the appropriate personnel. Additionally, the successful candidate will log all calls, check voicemail emails, forward messages accordingly, and greet and assist guests and visitors while monitoring lobby security cameras. Managing contact listings and coordinating package deliveries also form key responsibilities. Backing up scanning duties for digitizing old paper files into electronic systems will be required, along with providing general administrative assistance as needed. Training will be provided for all required systems, and familiarity with MS Office is recommended. Job Requirements

Job Duties

  • Answer agency main phone line via MSTeams in a courteous and patient manner and transfer to appropriate staff or department using agency contact listing
  • Enter calls received into a phone log
  • Check the admin email inbox for voicemail messages and forward to appropriate staff or department
  • Greet guests and visitors in a courteous manner and direct to appropriate staff or department
  • Direct visitors looking for Federal Homeland Security/Immigration/Citizenship to the downtown location
  • Watch lobby cameras for foot traffic or suspicious visitors
  • Maintain a current contact listing for the agency and important numbers listing
  • Notify appropriate contacts of any FedEx or UPS packages dropped off at the front desk
  • Assist with scanning old paper files into an online electronic software system
  • Perform various administrative assistance duties as needed
