Job Requirements

  • High school diploma or equivalent
  • Proven experience in office or administrative roles
  • Proficiency in Microsoft Office and Google Workspace
  • Familiarity with multi-line phone systems and proper etiquette
  • Basic bookkeeping skills with QuickBooks or similar software
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Ability to type accurately and proofread documents
  • Bilingual abilities preferred but not mandatory

Job Qualifications

  • Proven office or administrative experience with strong clerical skills and familiarity with office management procedures
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, data entry, and basic bookkeeping tools like QuickBooks
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer service support
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience as a medical or dental receptionist or personal assistant is a plus but not required
  • Ability to type quickly with accuracy and demonstrate good proofreading skills
  • Prior experience in customer service or support roles that require time management and organizational excellence

Job Duties

  • Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression
  • Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
  • Maintain a clean, organized front desk area, including filing, data entry, and managing office supplies
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Handle incoming and outgoing correspondence, including proofreading documents for accuracy and clarity
  • Support office management tasks such as filing, record keeping, and assisting with bookkeeping using QuickBooks or similar software
  • Provide exceptional customer support by addressing inquiries accurately and courteously in person or over the phone
