Job Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems and excellent phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior clerical or administrative experience in a professional setting is preferred
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Knowledge of office management software such as QuickBooks or bookkeeping experience is a plus
  • Excellent proofreading skills to ensure error-free documentation
  • Previous experience as a receptionist in medical or dental offices is advantageous but not required
  • Personal assistant or calendar management experience will be considered an asset

Job Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
  • Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office
  • Perform data entry, filing, and maintain accurate records to support office operations and client information management
  • Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and document proofreading
  • Assist with clerical duties including copying, scanning, and organizing documents while ensuring accuracy and confidentiality
  • Provide customer support by addressing inquiries via phone or email, offering helpful information or directing to appropriate departments
