The Front Desk Team Member role at Bold Bite Orthodontics is vital to maintaining the smooth operation and warm atmosphere the practice is known for. Serving as the first point of contact, this position requires a warm, hospitable demeanor that immediately makes patients feel comfortable and valued. The front desk is the heartbeat of the operation, responsible for answering phone calls, emails, and texts promptly with professionalism and care, managing appointment schedules, and maintaining accurate patient records in compliance with HIPAA regulations. Collaborating closely with orthodontic assistants and the Treatment Coordinator, this role ensures the schedule flows smoothly to support an efficient patient experience.

Previous experience in front desk or patient-facing roles is beneficial but not mandatory; training is available, especially for familiarity with GreyFinch practice management software. Job Requirements

  • High school diploma or equivalent
  • Ability to communicate effectively in English
  • Previous experience in customer service or front desk roles preferred
  • Basic computer skills and ability to learn practice management software
  • Ability to maintain confidentiality and handle sensitive information following HIPAA regulations
  • Strong interpersonal and communication skills
  • Ability to work flexible hours if needed

  • Willingness to learn and adapt to evolving practice needs

Job Qualifications

  • Previous experience in a front desk, receptionist, or patient-facing role is a plus but not required
  • Orthodontic or dental office experience is welcome
  • Familiarity with GreyFinch or similar practice management software is helpful
  • Comfort with phones, email, and text-based patient communications
  • Bilingual in English and Spanish is a plus

Job Duties

  • Answer phone calls, emails, and texts promptly and with exceptional care and professionalism
  • Greet and check in patients with a warm, hospitable demeanor that makes everyone feel at home
  • Schedule and confirm appointments using our GreyFinch practice management system
  • Manage patient communications, including appointment reminders and follow-ups
  • Coordinate closely with orthodontic assistants and the Treatment Coordinator to keep the schedule flowing smoothly
  • Maintain accurate patient records and handle sensitive information in accordance with HIPAA regulations
  • Assist with day-to-day front office tasks to support the overall flow of the practice
