Job Requirements
- 2 plus years of experience in a high-end hospitality or executive receptionist role
- proven ability to deliver outstanding guest service in high-pressure environments
- strong verbal and written communication skills
- proficiency with Google Workspace, Slack, RingCentral or equivalent
- capability to manage multiple tasks and prioritize effectively
- physical ability to lift up to 25 pounds and stand or walk for extended durations
- flexibility to work early mornings, evenings, or overtime when required
- excellent organizational capabilities and sound judgment
- demonstrated experience supporting senior executives or VIPs
- cultural sensitivity and discretion in professional interactions
- capacity to perform under pressure with excellent decision-making skills
Job Qualifications
- 2 plus years in a high-end hospitality role, hotel concierge or as a receptionist in an executive environment
- track record of delivering white-glove guest service in a fast-paced, high-profile environment
- polished verbal and written communication
- confident interacting with executives and external partners
- familiarity with Google Workspace, Slack, RingCentral (or comparable phone system) and basic ticketing/CMMS tools
- ability to lift up to 25 lbs and spend extended periods walking or standing
- flexibility to work occasional early mornings, evenings or overtime during special events
- strong organizational skills and the judgment to prioritize multiple concurrent requests
- proven track record of supporting senior executives, high-profile guests, or VIP stakeholders with professionalism, confidence, and attention to detail
- experience in high-end, well-regarded organizations or venues known for rigorous standards, service excellence, and operational discipline
- brings a high degree of cultural awareness, discretion, and situational intelligence gained through exposure to diverse international settings

Job Duties
- Opening duties such as powering on Nespresso machines
- restock coffee, tea and amenity stations, preparing meeting rooms
- draft and distribute the daily "HQ Brief" outlining visitors, vendors, scheduled maintenance and events
- pre-register all visitors in the WTC security system
- serve as primary greeter at reception
- monitor RingCentral phone lines (Boston & NYC), Stable Mail and shared inboxes
- track, receive and deliver all incoming packages
- manage outgoing shipments
- coordinate 1WTC badges to employees, assisted by HQ IT team
- assist guest with requests as they arise
- support special projects as they arise
- assist the HQ team with ad-hoc initiatives (executive events, office moves, vendor activations, process roll-outs) while maintaining day-to-day service excellence
