Job Description

This role is a Full-Time Monday through Friday position, requiring availability to work standard full-time hours and flexibility to travel between the Spanish Fork and Payson locations. The position is pivotal in managing front desk responsibilities and ensuring smooth communication between patients, healthcare providers, and other medical facilities. It serves as the initial point of contact for patients and visitors, playing a critical role in setting a positive tone and efficient workflow within our clinical environment.

The ideal candidate in this role will be responsible for welcoming and greeting patients and visitors warmly in person, providing courteous and professional assistance at all times. Answering and managing incoming phone calls from patients, physician offices, and hospitals is a key part of the position, requiring the ability to field inquiries competently and refer questions appropriately. Effective scheduling is one of the main duties, wherein the candidate will operate within multi-provider guidelines to maximize patient satisfaction, provider time, and treatment room utilization. The scheduling task includes arranging appointments by phone or in person, verifying insurance coverage and benefits, and mailing or emailing new patient packets at the time of scheduling to ensure readiness prior to visits.

Additionally, this role involves recording and maintaining accurate patient information in the Electronic Health Records (EHR) system, including demographic details, financial transactions such as payments, cost estimates, and insurance information like deductible, copay, coinsurance, and max out-of-pocket amounts. The candidate will be expected to keep patient appointments on schedule by notifying providers promptly upon patient arrival and managing any service delivery delays effectively.

The maintenance of reception areas and protection of patient confidentiality are also paramount to this role. Upholding patient rights with dignity and respect at all times ensures a trusting and secure environment for our patients. Coordination of patient referrals and multitasking abilities are necessary to manage the dynamic workflow of the front office. The candidate will be expected to follow all operational policies and procedures while exercising sound judgment in handling sensitive calls and patient concerns, especially when interacting with those who may be upset or unwell.

Job Duties

  • Welcomes and greets patients and visitors in person
  • respond to incoming phone requests from patients, physicians offices, and hospitals
  • optimize patients satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone
  • scheduling within the guidelines of multiple providers, verifying schedules and insurances
  • assure the accurate new patient packet is mailed or emailed at time of scheduling
  • ensure efficiency while maintaining excellent patient service in a courteous and professional manner
  • maintains and accurately document all patient request and information in the patient EHR including demographic information, collect and post payments for patients, cost estimates, verify insurance coverage, benefits, and client financial responsibility including max out of pocket, deductible, copay, coinsurance
  • keeps patient appointments on schedule by notifying provider of patients arrival, reviewing service delivery compared to schedule and reminding provider of service delays
